POSITION SUMMARY
The Administrative Assistant – Part Time position will provide personalized secretarial and administrative support in a well-organized and timely manner to the executive team. You will work with the Executive Assistant on various tasks related to the executive’s working life and communication. This will be a hybrid position with at least 3 days in the office in Orlando, FL. This position will execute special or continuous research and data analysis tasks. The work is generally of a critical or confidential nature and assignments may be found in various functional areas.
ESSENTIAL FUNCTIONS
Essential Functions Statement(s)
- Provides high level administrative support by proactively partnering with executive team to facilitate their work, anticipates their needs and prioritizes accordingly.
- Create and edit documents, spreadsheets and presentations.
- Manages calendar(s) for executive team.
- Manage schedules, arrange appointments and itineraries.
- Manage contact lists with periodic updates.
- Assist in the preparation of regularly scheduled reports.
- Contribute to team effort by accomplishing related results as needed.
- Coordinate meetings, travel, conference calls, and completes expense reports.
- Arranges complex travel plans and itineraries, and compiles travel documents.
- Answers and screens phone calls and responds independently or delegates to others, as appropriate.
- Develop and utilize historical information; provide retrieval of information. Record meeting discussions and provide minutes.
- Remain knowledgeable of all policies and procedures.
- Handles sensitive and confidential information with tact and diplomacy.
- Maintain inventory and office supplies. Anticipate office needs; evaluate new office products; place and often expedite orders when necessary.
- Perform other duties and special projects as assigned.

SKILLS & ABILITIES
Education: High School Graduate or General Education Degree (GED); some college in related are preferable.
Experience: Proven experience as an Administrative Assistant or other secretarial position.
Computer Skills: Data analysis; Proficient in MS Word, Excel, Outlook. Perform filtering and sorting of data, V-lookup and other functions. Excellent typing skills minimum of 40wpm.

Pay: $19.00 per hour
