Administraive Specialist Job Description
Provide administrative support regarding the daily company operations including, benefits coordination, payroll, credentialing, accounts receivable, and general business functions.
This position requires an individual with impeccable attention to detail, organizational skills, and stellar communication with co-workers, clients, and managers. This individual must also be an expert at multitasking, critical thinking, and time management. Must be a self-starter and maintain an excellent attendance record.
ESSENTIAL ADMINISTRATIVE SPECIALIST FUNCTIONS, DUTIES, AND RESPONSIBILITIES OF AN ADMIN SPECIALIST:
Assisting the Operations Manager and Owners with administrative support. This may consist of but is not limited to:
- Tracking virtual and physical employee documentation, certifications, training, and credentials
- Invoicing, A/R, and aging tracking
- Timesheet management and support
- Managing the onboarding of new hires
- Payroll processing
- Assist with paid time-off tracking, 401(k) enrollment, and healthcare benefits management
- Organizing and maintaining all files and other correspondence relating to administrative matters
- Assisting Owners with miscellaneous projects and tasks
- Other duties as assigned
Providing backup support to the Clinic Manager. This may consist of but is not limited to:
- Assisting with client intake, scheduling, and email distribution
- Entering data and maintaining EMR database
- Maintaining client documentation and files
- Providing support for coverage of breaks, lunches, and personal time off
- Answering, assisting, and directing all incoming telephone calls and messages from voicemail to appropriate parties in a professional and courteous manner
- Understanding the company’s services offered
- Knowing staff and primary contacts
- Provider material inventory management
- Supporting Clinic Manager as needed
Support RZT team members for special events, as requested:
- Promoting RZT social media campaigns
- Assisting with the execution of holiday and other staff events
- Assisting with planning and execution of client appreciation events

QUALIFICATIONS / EXPERTISE / REQUIREMENTS:
- High School Graduate
- An Associate or Bachelor's Degree preferred
- A minimum of four (4) years of administrative or other related experience required related to payroll, accounts receivable, and benefits management assistance
- Experience in the healthcare field (i.e., speech, OT, or other therapies) preferred
- Previous experience in accounts receivable and general office procedures is required
- Payroll Experience preferred
- Benefits coordination preferred
- Intermediate to Expert knowledge of Google Drive file organization platform (Google Forms, Sheets, Docs)
- Excellent Microsoft Excel skills
- Exceptional verbal and written skills
- Strong organizational and decision-making skills
- Experience with EMR systems
- Understanding of basic medical terminology
- Ability to navigate through multiple technical platforms
- Adaptable to a changing environment
- Independently handle multiple priorities

HOURLY POSITION
Job Type: Full-time / Days & Times may fluctuate
- Mon/Tues/Fri 9am-5pm, Wed/Thurs 10am-6pm
Location: HYBRID setting; In-office and Remote / Chandler, AZ
Compensation: $22-$26 per hour (commensurate with experience)
