The Illinois Department of Transportation is seeking to hire an Office Associate, Option 2.

40% Receives, verifies, and/or enters all gasoline and repair invoices received from vendors and CMS garage for supervisor review.
- Verifies purchases are entered in AMP Database.
- Processes information for AMP data base for district vehicles.
- Assist with assigning motor pool vehicles to district staff.
25% Processes work requests through Business Services Manager for phone system upgrades or changes, and mechanical and logistical questions.
- Processes orders for wireless service requests.
- Maintains PET data base.
- Reports any malfunction to Business Services Manager.
- Coordinates usage of district meeting rooms and conference calls.
- Processes and/or assists in the receipt of incoming and outgoing mail; operates paging system for approved announcements from direct supervisor.
- Develops list of emergency contact information and informs supervisor of updates.
20% Keyboards correspondence including, but not limited to, requisitions, form letters, service contracts statistical reports and service schedules.
- Proofreads documents and correspondence for accuracy, clarity, and content, and to ensure appropriate engineering technology is utilized.
- Checks for grammar, punctuation, and format accuracy.
- Inputs district timecards into the ALD data base.
- Assist the Administrative Services Section with filing of documents and invoices.
10% Serves as building receptionist.
- Signs in all visitors, maintaining the district register of visitors, and directs to proper source.
- Prepare and update district emergency procedures for posting at the switchboard.
- Report any unauthorized visitors/disturbances to the supervisor immediately.
5% Performs other duties as assigned or required which are reasonably within the scope of those enumerated above.
Minimum Qualifications
1. Requires knowledge, skill and mental development equivalent to completion of high school and two years of office experience.
Preferred Qualifications
1. Prefer the ability to maintain productive working relationships.
2. Prefer the ability to deal courteously and effectively with the general public while operating a multi-line phone system and maintaining the workload of the section.
3. Prefer the ability to operate a personal computer, a typewriter, and other office machines.
