Job Summary:
CandyRock Enterprises is a joint venture between a Confidential Celebrity (“Talent”) and Redrock Entertainment.
Redrock Entertainment is a multi-purpose end-to-end entertainment management and production company made up of award-winning creatives managing iconic artist talent, creating unique brand content, and producing large-scale global live events.
CandyRock Enterprises creates resources to guide people in healthy living, providing content, products, and experiences for a variety of audiences. CandyRock’s Entertainment division develops and produces feature length films and television projects with an emphasis on content that families can enjoy together.
The Personal Assistant to the Talent role is based in the Los Angeles area, reports directly to the Talent with a dotted line to the Director of Strategic Partnerships, and requires flexible days and hours and will include paid travel. The position requires a high level of professionalism, excellence, discretion, and attention to detail.
Job Duties / Responsibilities:
As a representative of the Talent, strive to ensure all clients, business partners and personal relationships experience excellence in their interactions. Must be an active observant learner, thinking ahead and making suggestions for areas and special projects where your assistance can solve unforeseen problems, facilitate growth, and enable Talent’s capacity to operate as an effective leader.
Daily assistance:
- Perform personal daily errands from mail and package handling to business correspondence delivery.
- Be aware of Talent meal habits and preferences and prep accordingly.
- Respond in a timely manner as Talent delegates a variety of tasks, even on short notice.
- Be on location with Talent at events, photo shoots, interviews, and productions, acting as a liaison, coordinating with and assisting stylists and other industry professionals as needed.
- Retrieve, hang and steam clothing and coordinate accessories at stylist’s direction in instances when no stylist is onsite.
- Proactively coordinate daily details on location.
- Be available for any specific personal needs or last-minute errands during photoshoots, interviews and other engagements.
- Collaborate with Office Coordinator / Project Assistant to function in a Production Assistant role as needed for fittings and photoshoots.
Scheduling:
- Be highly aware at all times of Talent’s schedule, to maintain a clear understanding of her daily calendar several months in advance.
- Be in frequent communication with Management Company for calendar management and business appearance details.
- Proactively suggest specific dates and times for optimal scheduling.
- Serve as liaison to Talent while working with managers, agents, publicists, employees to communicate and fulfill contractual calendar responsibilities.
- Coordinate with brand partners to schedule photoshoots, press events, and livestream shows.
- Maintain awareness of all brand partner contractual obligations.
- Prepare and present itineraries for Talent ahead of each day, communicating in advance about daily needs, meetings, travel arrangements and expectations.
- Set appointments with doctors, massage therapists and other personal care providers.
Travel:
- Gather flight options and book travel.
- Keep record of all booking information, communicate with booking agents and manage details.
- Coordinate car service to and from airport and venues.
- Book hotels as needed.
- Add to Talent’s calendar and keep her up to date with detailed travel itinerary.
Coordination:
- Collaborate with management company and PR, anticipating specific needs based on event type.
- Coordinate with management company for hair, makeup and styling for appearances and events.
- Schedule fittings with stylist prior to events as needed.
- Confirm glam budget with Talent.
- Maintain awareness of details for speaking events, including travel, lodging, onsite transportation, itinerary, speaking topics, pertinent onsite relationships, meet and greets, media appearances. Ensure management company is informed.
- Work directly with filming production coordinators to communicate Talent’s needs and expectations regarding flights, hotels, food, transportation, etc.
- Gather information, scripts, weather, and filming schedules. Print work permits if traveling internationally, maintaining duplicates and making sure Talent has documents on hand for travel.
- Anticipate gaps that need attention, including items needed for social media requirements during time on production, travel that may require outfits sent in advance, or travel booked on other company’s behalf.
Skills & Requirements:
- 2+ years’ experience working for a high-level Executive.
- Has a clear understanding of the players in the entertainment business – faith-based entertainment experience a plus.
- Travel required, dependent on the Talent’s schedule.
- 1+ years at a talent agency preferred.
- Excellent verbal and written communication skills.
- Adaptable to a variety of situations with numerous personalities.
- High level of integrity, ethics, and professionalism.
- Must have an impeccable attention to detail.
- Must have a high-level proficiency in Outlook and Microsoft Office Suite and Mac.
- The ability to independently, manage one’s time and prioritize multiple tasks in order to meet associated deadlines.
- The drive to take initiative, work independently and be accountable while also working as a team player who is collaborative, positive and flexible.
- High level of integrity, ethics, and professionalism.
- Must be legally authorized to work in the United States.
Job Type: Full-time
Pay: $68,000.00 - $70,000.00 per year
