Overview:
The Town of Mantua is seeking a highly organized and detail-oriented individual to join our team as a Justice Court Judicial Assistant. This is a part-time position with a focus on providing exceptional customer service and performing various clerical duties to support the service provided by the Mantua Justice Court.
Qualifications:
- High School Diploma or equivalent required
- 1+ years’ experience in customer service required
- 1+ years’ experience in data entry required
- 1+ years’ clerical training
- Court Office Hours are Monday, Tuesday, Thursday and Friday 9:00 am to 2:00 pm
- Wednesday's court office hours are from 9:00 am to 4:00 pm, possibly extending to 5:00 pm
- Court is held Wednesdays from 1 pm to 3 pm, attendance on this day is required
- Ability to prioritize work based on Court service objectives
- Strong customer service skills and ability to facilitate a welcoming environment
- Positive attitude and ability to work with a variety of different people at various levels
- Ability to follow detailed oral and written instructions
- Strong multi-tasking and problem-solving skills
- Strong analytical, decision-making, and influence/interpersonal skills
- Intermediate skill level with MS Word, PC or laptop, email, and internet
- Prior Judicial Assistant experience will be considered in enhancing the compensation level
- Successful candidates must pass a pre-employment drug test, a background screen, and have a current Utah driver's license with a good driving history.
- Employment verification with form I-9 is also required.
Responsibilities:
- Under the direction of the Judge and in coordination with the other Judicial Assistant(s), perform a variety of routine to complex judicial assistant duties as required to maintain accurate records, reports, accounts, and files related to activities of the Justice Court.
- As assigned, perform the functions of a cashier, including accepting, posting, processing, and verifying payments, credits, and other financial transactions.
- Serve as a receptionist to assist the public with court-related inquiries and when needed direct non-court-related inquiries to other appropriate Mantua employees. Exceptional phone etiquette is required.
- Perform accounting functions, balance daily transactions, and complete month-end processes and reconciliations.
- Maintain accurate and detailed tracking of cases, forms, reports, and records.
- Provide clerical support to the Judge in and out of Court.
- Manage the schedule of arraignments, pre-trial, and other pre- and post-judgment hearings, as well as jury and non-jury trials. Prepare and maintain the court calendars of these events, coordinating with the Judge all court schedules and delinquent cases.
- Prepare, assemble, and check materials for each court session. Establish and route case files. Prepare and route notices to the appropriate persons to meet their agreed-upon needs.
- Maintain follow-up and alternate order reports.
- Maintain accurate and detailed documentation in court dockets, and incorporate into the docket all associated documentation. Post official entries reflecting pertinent facts, financial records, and judgments related to the disposition of each court case.
- Support the issuance of stay dates, bench warrants, pick-up orders, commitment orders, process expungements, and enter information, pleadings, motions, summons, subpoenas, judgments, and orders made by the Court.
- Update weekly court proceedings and maintain and schedule trial notices to all associated persons.
- Coordinate and track Compensatory Service as ordered by the Judge.
- Maintain liaison and communications with agencies associated with the criminal justice system, such as the Sheriffs, warrants division, bail bondsmen, prosecuting attorney offices, probate counselors, public defenders, adult probation, Justice Court, BCI, and City offices.
- When needed, arrange prisoner Remote Hearings/transportation to and from Court.
- Ensure required documentation, communication, and follow-up judicial actions are completed promptly.
- Prepare and route certified copies.
- Open, review, and distribute mail for the Justice Court.
- Other responsibilities as assigned to support the judicial services provided.
Skills:
- Strong knowledge of legal terminology, processes, and procedures
- Proficiency in using legal research tools such as Lexis-Nexis and Westlaw
- Excellent written and verbal communication skills
- Attention to detail and ability to accurately review documents
- Strong organizational skills with the ability to prioritize tasks effectively
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Ability to work independently and as part of a team
