THE ROLE
In this role, you will keep the office running smoothly and oversee management of administrative needs, health & safety measures for the office, housekeeping measures, equipment maintenance and hospitality services. You are responsible for a wide range of responsibilities that requires daily presence in the office. You love to solve problems, big and small, deliver a high level of service for employees and guests. You thrive in a dynamic, fast-paced environment; you approach every challenge head-on. As a member of The MLC team, you will help to maintain and champion The MLC's unique culture.
QUALIFICATIONS
- Five years of relevant office management, administrative experience.
- Excellent spoken and written communication skills; able to present lite training as needed.
- Available to be in the office five days a week; flexibility provided as needed.
- Proven ability to handle multiple priorities while being calm under pressure.
- Ability to handle confidential information.
- Organized and a strong attention to details.
- Above average Microsoft skills (Excel, PowerPoint, Word).
- Familiarity with "teams" rooms technology highly preferred.
ESSENTIAL RESPONSIBILITIES
YOU MANAGE OFFICE & SAFETY OPERATIONS BY:
- Overseeing general office operations such as the mail, deliveries, and the procedures for greeting guests; ensuring the reception area is covered and welcoming for guests.
- Troubleshooting issues in the office; organizing service contractors to reduce disruption of the office.
- Managing all aspects of office space changes/infrastructure moves, planning, and resources.
- Assisting in internal and external events that may require support outside business hours. Tracking & communicating office activities company wide.
- Negotiating with vendors for building, travel and safety programs (Parking, Caterers, Hotels, CPR/First Aid, Alert Systems, etc..).
- Ensuring the workplace meets safety and security standards as set by The MLC and building management, providing safety training for MLC team. Maintain CPR/First Aid Certifications.
- Addressing building situations that may pose risk to the Nashville team; weather conditions, downtown disruptions, etc..
- Maintaining office supplies in kitchen & dining areas, restrooms, meeting rooms and copy room.
- Other duties as assigned.
YOU MANAGE OPERATIONAL SUPPORT DUTIES BY:
- Determining programming and coordination for hybrid lunch & learns with a variety of internal & external speakers.
- Tracking budget variances for People Team with regular reporting.
- Coordinating domestic and international travel, including flight, hotel and car rental reservations for the MLC team; within T&E policy guidelines.
- Ensuring accurate and timely proofing and payment of bills, along with prompt submission of transaction receipts to the Finance department.
- Supporting People Team with reference checks, onboarding, offboarding, huddle facilitation and teambuilding, as needed.
