POSITION DESCRIPTION:*
Under direct supervision of the HR director/chief collaboration officer (CCO) and in close cooperation with management personnel, the HR Assistant performs a variety of independent and cooperative office support functions and provides clerical assistance to the Human Resources Department. The incumbent provides technical staff support in matters relating to personnel, including benefits, health and safety programs, employee relations, and fulfilling reporting requirements, performs related work as required.

DUTIES & RESPONSIBILITIES:*
Human Resources and Agency Administrative Support:
- Serves as HR Administrative Assistant/Receptionist on a rotating basis in the Community Bridges reception. Completes all reception tasks as required, including greeting & directing visitors, answering telephones, routing mail, facilitating new hire orientations when requested, assisting supervisors & staff, and ensuring tidiness of the reception area. Fulfills all HR Administrative Assistant/Receptionist duties as needed.
- Types correspondence, reports, forms, schedules, minutes and a variety of other materials from rough drafts or brief notes. Files materials according to an established filing system; retrieves files and creates new files as required.
- Assists in arranging and scheduling meetings as directed.
- Administers employee compensation changes.
- Takes minutes at various meetings, including union negotiations, conflict resolution and disciplinary meetings as needed.
- Prepares, compiles, and organizes data, statistics and other information to prepare a variety of periodic and special reports and arranges it into an established format; duplicates, and distributes such materials.
- Assists in developing procedures, methods, and systems as directed.
- Translates written materials between English and Spanish and acts as oral interpreter as required.
Benefits and Leave of Absence Administration:
- Provides comprehensive administrative support in administration of employee benefit programs, including enrollment and billing, conducting benefit orientations, and performing any other related functions as needed. May act as liaison between staff and insurance carriers and trouble-shoot for staff as requested.
- Provides comprehensive administrative support in administration of the agency Health & Safety Committee, workplace injury documentation, and workers compensation claims. Coordinates ergonomic assessments.
- Assists with administering employee leave process, including monitoring for compliance with all state and federal regulations, communicating with staff and medical providers, tracking leave status, and supporting employees and their supervisor(s) with leave related matters.
- Completes employee verifications for income, employment, housing, disability claims, unemployment claims, and related requests. Assists and supports program staff in general program work as needed and requested.
- Works with the contracts and facilities department on matters relating to CB Headquarters building safety, including ensuring building floor plans and disaster preparedness policies and procedures are communicated to staff and scheduling annual fire drills.
- Performs other duties as assigned.

OTHER JOB DETAILS:*
- This is a FLSA, confidential, non-exempt position.
- The position is eligible for a $.40/$.10 per hour bilingual/biliterate differential after passing a test administered by the HR Department.
- Regular on-site attendance is required.
MINIMUM QUALIFICATIONS:
Required:
- Bachelor’s degree in a relevant field or equivalent experience
- Experience using standard computer programs such as Microsoft Word and Excel, Google suite, etc.
- Cultural competency and ability to communicate clearly and succinctly in English, orally and in writing
- Experience in and ability to independently organize and manage work to complete assignments accurately and on deadline
- Ability to provide excellent customer service
- Interpersonal skills to work collaboratively and effectively with people from diverse backgrounds
- Ability to analyze information, draw conclusions, and recommend solutions
- Bilingual English/Spanish

- Knowledge of standard office practices and procedures, including answering the telephone, record keeping, and the use of standard office equipment

OTHER REQUIREMENTS:
- Must be able to work at a computer for full workdays; some routine lifting and reaching requirements.
- Must have a valid CA Driver’s License for work-related tasks as needed, have access to drive a motor vehicle incidental to this performance of the work and be insured.
- Must pass a criminal background check and maintain a clean record.

Pay: $22.96 - $25.17 per hour
