Northwest Credible Messenger (NWCM) is an innovative, healing centered non-profit organization that works with youth serving organizations, young people, and local governments to build and implement strategies that allow the next generation of Black and Brown leaders to flourish. We are the Washington State Ambassadors of the National Credible Messenger Mentoring Movement (CM3), providers of the Healing Centered Engagement approach, capacity builders, and leaders committed to reflection and healing. We build the strategies that are necessary to reimagine how systems shift the way they support young people of color and the adult leaders who serve them.

Position Summary: We are seeking a highly skilled and dedicated Administrative Specialist to join our dynamic team. An Admin Specialist will be able to develop creative and innovative solutions and strategies for a growing organization. This role is integral to our operations, providing essential support in technical documentation, program budgeting, and contract management. The ideal candidate will be proficient in using online tools such as SharePoint, Trainual, JotForm, Canva, and the Apricot database. This individual will also aid in grant writing, program maintenance, and ensure meticulous contract tracking and reporting. We are looking for someone who is not only organized and detail-oriented but also passionate about our mission and the well-being of our participants and consortium members.
Essential Functions:
· Develop and maintain technical documentation and manuals.
· Create and manage program budgets, ensuring alignment with financial goals and constraints.
· Utilize and manage online tools including SharePoint, Trainual, JotForm, Canva, and the Apricot database for various administrative and programmatic tasks.
· Assist in grant writing, including research, drafting, and submission processes.
· Support program maintenance and contract tracking, ensuring all obligations are met and documented accurately.
· Report on contracts, itemize and expense staff receipts, and provide thorough financial documentation.
· Work with state sites like SAW for compliance and reporting purposes.
· Audit and optimize our internal SharePoint site for better usage and efficiency.
· Co-Develop internal structures and processes to improve efficiency as the organization.
· Provide training and support to staff on using various online tools and databases.
· Maintain complex program calendars, email and correspondence to program partners, and individual leadership calendars.
· Collaborative thought partner and initiative taker in deep collaboration with Project Directors
· Initiate and nurture endearing relationships with the core partners, and other related parties in support of NWCM’s mission and vision.

Position Details This position begins between $80k and $95k DOE. This position is hourly, you will receive a massage monthly, medical, dental and vision benefits as well as access to a health savings account. We believe that “Relationships Produce Results” and each month we strive to do team lunches and or field trips.
Position reports to NWCM Operations Coordinator and is at will and requires a level of experience to be able to self-start a project and understand vision and help to push a project to implementation.
You will maintain digital program and finance files and organization’s digital filing systems. Support with preparing sub-contracts for consultants and submitting invoicing to our funders monthly. Assisting with special projects is required from time to time.
We are looking for a leader with the skills set to help our growing organization continue to grow strategically in alignment with our initiatives, program areas and community needs statewide in relation to our NWCM Consortium.
Working Conditions
· This position will require you to work in office. Currently, remote work is not approved at this time, however when needs arise we will accommodate.
· Office hours are generally 10:00 AM to 5:00 PM, Monday through Friday.
· Expect occasional evening and weekend commitments for training, meetings, events, and or workshops.
· Periodic statewide travel may be required, with overnight stays. Travel expenses, including flights and accommodation, will be covered by NWCM.
· Travel days are billable, with a maximum of 5 hours per day.
The NWCM office is located in Federal Way, WA 98003. Four mandatory training courses are required and you will learn more about this process rooted in Healing Centered Engagement.
