Job Overview:
We are seeking a dedicated and organized Administrative Assistant to join the team. The successful candidate will handle various administrative tasks and serve as a key point of contact between our office and field employees. This role is crucial in ensuring smooth operations and effective communication within the company.
Key Responsibilities:
Administrative Support:
- Manage the owner’s calendar, schedule appointments, and coordinate meetings.
- Prepare and edit correspondence, reports, and other documents.
- Handle incoming calls, emails, and other communications.
- Maintain office supplies inventory and order as necessary.
- Organize and maintain physical and digital files.
- Assist in identifying job opportunities and putting together bids for govt contracts.
Field Communication:
- Serve as the primary contact for field employees, addressing inquiries and relaying messages.
- Coordinate logistics and provide support for field operations.
- Collect and compile reports and updates from field employees.
- Facilitate communication between the office and field to ensure timely and accurate information flow.
Task Management:
- Assist with project management tasks as needed.
- Coordinate and track the progress of various administrative projects.
- Ensure deadlines are met by following up with relevant parties.
Qualifications:
Experience: Previous experience in an administrative role, preferably in a small office setting.
Skills:
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Ability to work independently and as part of a team.
- Strong attention to detail and problem-solving skills.
- Familiarity with office equipment (e.g., fax machines, printers) and basic IT troubleshooting.
