Position Summary:
The Document Control Specialist is responsible for managing the creation, revision, distribution, retrieval, and archiving of documents within an organization to ensure accuracy, quality, and compliance with regulatory standards. Overall, document control specialists play a crucial role in maintaining organized, accurate, and compliant documentation within an organization, contributing to operational efficiency and regulatory compliance. Their duties typically include:
Duties & Responsibilities
- Document Management: Overseeing the entire lifecycle of documents, including creation, review, approval, distribution, and archiving.
- Version Control: Maintaining accurate records of document versions to ensure that only the most current version is being used.
- Quality Assurance: Reviewing documents for accuracy, completeness, and adherence to organizational standards and regulatory requirements.
- Document Retrieval: Establishing and maintaining systems for efficiently retrieving documents when needed, ensuring quick access for authorized personnel.
- Training: Providing training to staff members on document control procedures, including document creation, review, and retrieval processes.
- Compliance: Ensuring that document management practices comply with relevant regulations and standards, such as ISO standards or industry-specific requirements.
- Software Management: Utilizing document management software systems to organize and track documents effectively.
- Auditing: Conducting periodic audits to assess the effectiveness of document control processes and identify areas for improvement.
- Communication: Collaborating with various departments to facilitate document-related processes and address any issues or concerns.
- Continuous Improvement: Identifying opportunities to streamline document management processes and enhance efficiency and effectiveness
- Assist with Internal and External audits as needed, to ensure compliance with customer specifications, regulations, and standards.
- Assist with investigating non-conformance root.
- Assist in maintaining quality functions, training records and technical publications.
- Assist in special projects as required.
- Any other tasks as required by the Quality Assurance Manager or head of Quality.
Required Qualifications:
- 2+ years document management and control experience in an ISO environment, or similar.
- Strong written and verbal communication skills.
- Ability to organize and prioritize various tasks and manage accordingly.
- Able to assist and develop knowledge within a team environment aiding the Quality Assurance and Customer Service teams, as well as Warehouse Operations and Commercial teams.
- Able to thrive in a fast-paced environment while maintaining priorities and meeting deadlines as set by management.
- Proficiency in Microsoft Word, Excel, and Outlook skills.
Preferred Qualifications:
- High School Diploma or Equivalent.
- AS9100/ISO9001 Auditor Certification.
- Basic knowledge of FAA regulations.
- Warehouse Operations experience.
Travel: No travel required.
Language:Ability to read, write, speak, and understand English.
Physical Demands: Work Environment: 60% office; 40% Warehouse Floor
Working Conditions: This position works primarily in an office environment, with visits to the warehouse floor necessary.
