SUMMARY
This position is responsible for preparing and issuing invoices for harvesting and field labor services. Provide general office support as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
WORK PROCESS
Invoicing:
- Gather supporting information for invoices.
- Contact customer or delivery point to resolve any discrepancies between field load sheets and destination point receiving documentation.
- Create invoices in NAVISION for all assigned Contracts.
- Generate invoices to various customers and attach supporting information as needed.
- Contact Payroll, Packout Clerk, Foreman or Supervisor immediately for missing or incomplete data.
- Research all short-pay invoices and resolve discrepancies.
- Maintain files for open Accounts Receivable.
- Update contract file in Navision with changes and create new contracts
- Send Customer Statements on a regular basis
- Upload invoices to Customer portal according to Customer standards.
- H2a installment invoices
- Rebate invoices.
QUALIFICATIONS
- Knowledge of office methods, practices and equipment; knowledge of spreadsheets, company accounting software, word processing; initiative to develop new procedures to make payroll work processes more efficient; computer literate in Microsoft Office, i.e. Word, Excel;10-key by touch; ability to establish and maintain effective work relationships with those contacted in the performance of required duties.
EDUCATION and/or EXPERIENCE
- High School Diploma and one year experience with billing, agricultural preferred, that would provide the level of knowledge and ability required for the position.
LANGUAGE SKILLS
- Proficiency in English and Spanish
MATHEMATICAL SKILLS
- Strong analytical/numbers capabilities and problem solving capabilities
PHYSICAL DEMANDS
- Sitting for prolonged period of time.
- Light to moderate lifting (up to 40 pounds).
- Reaching, stooping, pulling, pushing and manual dexterity.
- Operating a computer, calculator, copier and typewriter involves repetitive hand arm movement.
- Entering data by touch requires the ability to hear computer alarms for errors.
WORK ENVIRONMENT
- Must be able to handle multi-tasks and work in a fast-paced environment with frequent interruptions.
- Must be able to deal politely with outside customers and vendors.
- Communication with other staff members involves making contact orally via the telephone or in person.
- Overtime and some Saturday work may be required.
