Purpose
The HR Coordinator provides comprehensive administrative support to day-to-day operations of Human Resources. This position provides support for all company policies, HR transactions and procedures, benefits, recognition, rewards, communications, and HR programs. The HR Coordinator coordinates and supports a variety of HR processes consistent with policies and guidelines. This position must maintain confidentiality of team member information.
Responsibilities
- Receives and sorts the Human Resources department mail. This includes the scanning of documents for delivery as needed.
- Assists with updating Human Resource documents such as benefit vendor lists, on Save A Lot’s intranet.
- Supports the processing of unemployment claims, working closely with HR Business Partners to provide accurate and timely documentation for claims and hearings while reducing the potential unemployment claim liability.
- Supports the processing of garnishments including scanning received documents and ensuring Dayforce is updated timely.
- Responsible for retrieving all documentation requested through court ordered subpoenas for team members as well as responding timely and accurately.
- Assists with benefits correspondence to include Medicare inquiries and processing Qualified Medical Support Orders. This includes informing the Team Member and getting the appropriate benefits setup with vendors.
- Responsible for the processing and coding of HR invoices.
- Supports contract administration through creation of purchase requisitions, creation of purchase orders, perform receivings against purchase orders and maintenance of contract files.
- Provides support for Leave of Absence administration. This includes running monthly reports and preparing letters and invoices to Team Members that are enrolled in benefits but not receiving paychecks.
- Assists with responding to inquiries from the shared HRIS and Benefits email inboxes.
- Assists with the organization and maintenance of benefit enrollment materials.
- Acts as the backup to the Support Center Receptionist. Answers and directs calls on a multi-line phone system and greets visitors to the facility.
- Supports the referral program and responds to all referrals in a timely manner.
- Works with the Talent Team to ensure I-9’s are completed within three days for all new hires.
- Performs other HR related duties and supports HR projects as assigned to support internal business clients
- Maintains the highest level of confidentiality and sensitivity to all HR related matters and information
About You
- 2-5 years of experience in Human Resources or similar teams
- Bachelors’ Degree in Business Administration or related field preferred
- Payroll and HRIS experience a plus
- Experience navigating and operating in a HRIS system
- Experience processing and managing unemployment claims and wage garnishments
- Experience coding and processing high volume of invoices
- Ability to demonstrate confidentiality with sensitive topics and information
- Excellent oral and written communication skills
- Ability to establish business relationships with all levels of the organization
- Strong understanding of the process, practices, and methods associated with payroll tasks preferred
- Proficient with the Microsoft Offices suite of applications
- Must be able to maintain confidentiality with private and crucial information. Must manage sensitive and confidential matters
- Must have the ability to manage several assignments and tasks concurrently
Physical Requirements
- Most work is performed in a temperature-controlled environment
- Incumbent may sit for long periods of time at a desk or computer terminal
- Incumbent may use calculators, keyboards, telephone and other office equipment in the course of a normal workday
- Stooping, bending, twisting and reaching may be required in completion of job duties
