The Administrative Assistant performs routine functions such as drafting, corresponding,
scheduling appointments, organizing and maintaining paper and electronic files, and providing information to callers. The position includes additional entry level import entry administrative and operational processing responsibilities.
RESPONSIBILITIES/DUTIES:

- General office administration: data entry, maintaining records, accounts payable and accounts receivable.
- Answering phone calls and other customer service related duties
- Assist team members with clerical support (i.e. scanning, copying, filing, ordering supplies).
- Greet and check in all visitors/log
- Answer incoming calls in a professional manner and direct them to the appropriate staff
- Responds to internal and external correspondence regarding routine inquiries.
- Process, prepare, and submit ACH payments and batch vendor payments· AP/AR and settle accounting discrepancies.
- Open and distribute all mail and courier packages.
- Prepare, sort, and distribute incoming correspondence, faxes, emails, and Comat correspondence.
- Maintains and updates filing, inventory, mailing, and database systems
- Provide clerical support to other departments/staff.
- Perform general office duties, such as ordering and restocking supplies, data entry, records management, and bookkeeping.
- Assists in preparing agendas and arrangements for office meetings
- Reviews files, records, and other documents to obtain information to respond to requests.
- Entry level import operations & administrative functions (i.e. ISF filing, ACH Statement Processing, presenting files for audit, basic customs entry processes.
MINIMUM QUALIFICATIONS:

- High School Diploma or equivalent· Proficient in Microsoft Office· 2-3 years administrative experience.
- Maintain an exceptional level of professionalism.
- Effective mathematical, written, and verbal skills.
- Commitment to customer service and a team-oriented work environment.
- Ability to add, subtract, multiply, and divide using units of U.S. or international currency, weight, volume, and distance measurement.
