Wattage is looking for a Front Desk Agent for an elite personal training facility located in the West Loop. The Front Desk Staff serves as the first point of contact for our clients and visitors, providing exceptional customer service and ensuring a smooth and efficient operation of the front desk. This role involves handling administrative tasks, managing incoming calls and emails, and supporting various departments as needed. The applicant must be in Chicago and must be passionate about health and fitness. The candidate should also be reliable and professional. This person is a positive force and outgoing/motivating ambassador, responsible for maintaining the operational flow and gym ambiance.
Hours:
Monday-Friday 6:00 AM - 2:00 PM (HEAVILY PREFERRED but room for negotiation).
Applicant Requirements:
- Must be a morning person with a passion for fitness
- Outgoing, friendly personality
- Must be extremely organized
- Must be able to lift at least 50 lbs.
- Self-sufficient and ability to self-manage without direction
- Degree in Business, Marketing, or similar fields preferred
Key Responsibilities:
Customer Service
- Greet clients and visitors with a warm and friendly demeanor.
- Provide accurate information about services, schedules, pricing, etc.
- Address and resolve client inquiries and concerns promptly.
Administrative Duties:
- Must be able to learn the ins & outs of scheduling system Mindbody. The manager is in charge of troubleshooting any issues and is the main point of contact for the gym.
- The Front Desk Agent is responsible for all prospective client interactions from the first impression to trainer placement & first session. This includes phone calls, managing all new-client inquiries, giving tours, and helping facilitate trainer schedules.
- Answer and direct phone calls to the appropriate people.
- Manage appointment scheduling and client purchases.
- Maintain and update client records and databases.
- Process payments and handle cash transactions accurately.
Office Management & Facility Maintenance:
- Support gym's daily operations maintain the visual integrity of gym: rotating laundry, vacuuming, keeping front desk area clean, neat, and well organized.
- Keep gym floor clean, neat, and well organized at all times with the help of the personal trainers.
- In charge of daily facility maintenance including laundry, cleaning protocols, organization, scheduling repairs, etc.
- Ensure locker rooms are stocked and tidy.
- Ensure recovery room is operating, stocked, clean and tidy
- Assists manager in monitoring and ordering office supplies as needed.
- Run any facility order/errands (pick-ups, office supplies, retail, food) when needed.
- In charge of opening & closing procedures when necessary.
Communication:
- Greet clients/guests in a friendly manner and answer all questions for clients/guests in accordance with facility procedures
- Coordinate and communicate effectively with trainers and administrative team members.
- Relay important information and messages to relevant parties.
- Be knowledgeable about all events happening in the facility. We are looking for someone that has great attention to detail and can work independently
Support Services:
- Assist in organizing and coordinating events or meetings.
- Support the team in various projects and tasks as required.
- Attend all team meetings.
- Provide assistance during special events, when needed.
Social Media Management (Preferred not required):
- Must have experience managing social media accounts such as Instagram, Facebook, etc.
- Front Desk Agent works with manager to curate and posts on social media.
- The Front DeskAgent works with the manager to make small updates to our website via Squarespace (editing information, posting/updating photos, posting blogs, etc.)
Interpersonal Relations:
- Assists manager in scheduling team meetings & outings.
- Relay any important information to trainers from Wattage Management.
- Maintain a healthy and supportive workplace environment by hearing out concerns and problem-solving.
- In charge of training all new staff on facility protocol, scheduling, and organization
Job Type: Full-time
Pay: $38,000.00 - $42,000.00 per year
