The Office of the Vice President for Information Technology and Chief Information Officer is seeking an Executive Assistant. This role will be responsible for managing the administrative functions of multiple senior level Computing Services executives. In this role, you will support three assistant vice presidents (Enterprise Applications, IT Client Services, and Business Innovation Office) and provide a variety of administrative functions to support the Computing Services division. This is an in-person position which requires some travel between buildings on campus and reports to the executive assistant to the VP/CIO.

Core responsibilities include:
Administrative Support - Lead calendar management and scheduling for the assistant vice presidents for large cross-functional meetings, events, and extensive interview committees. Provide general office support such as creating and maintaining accurate filing systems, preparing agendas, taking meeting minutes, and reviewing documentation.
Event Management - Coordinate arrangements for meetings, conferences, workshops, etc., including food ordering, travel schedules, reservations, and expense reports. Purchasing and some financial reconciliation.
Other – Troubleshoot problems and questions concerning departmental, divisional and/or university policies and procedures. Liaison between department and outside organizations. Answers all routine and most unique questions or corrects more problems/issues directly. Refers only the most difficult issues and questions to supervisor.
You must demonstrate:
Extensive calendar management experience, including the coordination of complex executive meetings. Experience with Google Calendar and Gmail is highly preferred.
Excellent organizational and planning skills, interpersonal and written communication skills, and time management skills.
Ability to communicate and interact with university partners at all levels, both in person and virtually, in a fast-paced environment while remaining flexible, proactive, resourceful, and efficient.
Possess the utmost of integrity in the discreet handling of confidential information.
Proficiency with Microsoft Office applications and collaboration tools such as Google Drive and Box.
Qualifications:
Associate’s degree is required. A bachelor’s degree is preferred.
A minimum of 5 years of administrative support experience.
Equivalent combination of education and/or experience may be considered.
Experience supporting an executive-level leader is preferred.
