Job Summary:
Since 1983, US Polymers, a California-based company with four unique divisions, has been serving industries with innovative, high-quality vinyl building materials and home improvement products. We are seeking a highly organized and detail-oriented individual to join our team as an Accounts Receivable Specialist / Executive Assistant. This role will be responsible for managing accounts receivable functions while providing administrative support to executives.
Key Responsibilities:
- Manage accounts receivable processes including invoicing, collections, and reconciliations.
- Monitor accounts to ensure timely payments and follow up on overdue accounts.
- Prepare and send invoices to clients accurately and in a timely manner.
- Process incoming payments and reconcile them with the accounts receivable ledger.
- Investigate and resolve discrepancies or issues with invoices or payments.
- Communicate effectively with clients regarding payment status and resolve any billing inquiries.
- Assist executives with administrative tasks such as scheduling meetings, managing calendars, and making travel arrangements.
- Prepare and edit correspondence, reports, and presentations for executives as needed.
- Coordinate and organize meetings, including preparing agendas, taking minutes, and following up on action items.
- Manage executive's email inbox, filtering and prioritizing messages as necessary.
Qualifications:
- Proven experience in accounts receivable or related financial role.
- Proficiency in accounting software and Microsoft Office Suite, particularly Excel and Outlook.
- Strong attention to detail and accuracy in data entry and financial transactions.
- Excellent communication skills, both verbal and written, with the ability to interact professionally with clients and executives.
- Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
- Discretion and confidentiality when handling sensitive information.
- Previous experience providing executive-level administrative support is a plus.
