Position: Human Resources Administrator
Reports to: Executive Director, Executive Administrative Team
Compensation:
- Starting Pay Range: $29.00-32.00 per hour (DOE)
- 12 paid holidays, paid birthday, paid time off

Work Hours: Typical Work Day–Monday through Friday, 10:30 AM to 7:00 PM
- Some late night, early morning and weekend hours will be required throughout the year (Typically during College Application, Financial Aid, and SAT Programming season; annual events such as NAC Thanksgiving, NAC Alumni Reunions, and NAC Graduation)
- Work hours may shift during summer (Monday through Friday, 8:00 AM to 4:30 PM–with Fridays being WFH)

Requirements:
- Minimum 2 years experience in HR (required)
- Professional Human Resources certification (or in progress; company to provide opportunity for certification)
- Bachelor’s Degree Required (majors in Human Services, HR, Business Administration, Economics, or similar discipline preferred)
- Bilingual in English and Spanish (required)
- TB Clearance (provided by NAC; completed prior to start date)
- CPR Certified (provided by NAC; completed prior to start date)
- Must pass DOJ fingerprinting clearance (provided by NAC; completed prior to start date)
JOB DESCRIPTION
The primary responsibility of the Nicholas Academic Centers’ (NAC) Human Resources Administrator (HRA) is to provide personnel and administrative support to the NAC Executive Administrative Team, Management Team and the organization as a whole. The Human Resources Administrator will support the NAC Executive Administrative Team in duties like administration of job recruitment, updating employee records via our HR Information Systems, and processing employee related requests, benefits and compensation programs that support the organization’s budget strategy. The Human Resources Administrator will be responsible for handling a number of different personnel related administrative tasks and will offer clerical support to the organization and employees regarding human resources related activities, policies, processes, and procedures. Additionally, the Human Resources Administrator will be responsible for maintaining files for the organization, supporting a diverse employee population with crucial services for the full employee life-cycle, and to handle sensitive information confidentially. Success in this role requires superior customer service, relationship-building skills, attention to detail, ability to thrive in a fast-paced and constantly changing environment.
RESPONSIBILITIES
ADMINISTRATIVE DUTIES
- Work closely with the NAC Executive Administrative Team to provide guidance and collaborate with the Team in the development and administration of compensation programs that support the organization’s budget strategy.
- Provide guidance and support during salary negotiations for new hires or existing employees.
- Consult with NAC Executive Administrative Team as a subject matter expert to ensure compensation recommendations are aligned and relevant to both the market and internal equity.
- Provide guidance and pay recommendations for employees at all levels.
- Communicate compensation policies to employees in a clear and transparent manner.
- Assist with recruitment and onboarding processes, including job postings, resume screening, and conducting interviews.
- Facilitate new hire onboarding processes, including ensuring that all onboarding documents are properly executed and filed.
- Facilitate new hire orientation and introducing new hires to company policies and culture.
- Assist with off-boarding processes, including conducting exit interviews.
- Prepare offer letters for successful candidates to be signed by Director of Operations or other NAC Executive Administrative Team Member.
- Provides support and guidance to management, and other staff when complex, specialized, and sensitive questions and issues arise.
- Track and maintain employee certifications in appropriate record-keeping software.
- Update HRIS (e.g. new hires, separations, vacation and sick leaves).
- Assist in payroll preparation by providing relevant data, like absences, bonus and leaves.
- Assist Director of Operations with regular data audits of all HR systems and record keeping platforms.
- Assist Director of Operations in administering employee benefits programs.
- Assist with employee questions on health benefit plans including yearly renewals, enrollment and terminations.
- Manage day-to-day HR questions in coordination with the NAC Management Team.
- Provide information on HR policies and processes to employees and managers.
- Provide training in the fundamentals of HR and employment law.
- Assist with employee relations matters, including investigations and conflict resolution.
- Help resolve employee inquiries and escalate complex issues to NAC Executive Management Team.
- Respond to initial unemployment claims and employment verifications.
- Maintain standards of strict confidentiality with respect to all matters and documents.
- Analyzes trends in compensation and benefits; researches and proposes competitive base and incentive pay programs to ensure the organization attracts and retains top talent.
OTHER
- Provide support at employment recruitment fairs
- Provide administrative support to staff, Directors and Managers as appropriate or requested
- Perform other duties as assigned and/or as needed to meet program, events, and operational goals.
KNOWLEDGE, SKILLS AND EXPERIENCE
- 2 years experience in HR (required)
- Professional Human Resources certification (or in progress; company can provide opportunity for certification)
- Bilingual in English and Spanish (required)
- Thorough knowledge of HR processes, employment law, and regulations and an interest in keeping up on trends and updates in HR
- Strong organizational, interpersonal and communication skills
- Ability to think strategically and leverage HR data to support decision-making
- Attention to detail and ability to handle confidential information
- Demonstrated excellence thriving in a fast-paced environment and embracing change
- Advanced MS Excel skills required
- Extensive knowledge in Microsoft Office Suite Applications
- Extensive knowledge in Google Suite

- Familiarity with HRIS systems (Paylocity, a plus)
- Knowledgeable in use and maintenance of office equipment
- Strong ability to multi-task and set priorities
