The Position:
We are looking for a Project Billing Accountant located in Orlando. The position is responsible for supporting Project Operations team with the billing, contract understanding, collections, customer interactions and accounting across the organizations; this ultimately enables customer satisfaction, timely, accurate and quality billing and collections and better cash flow for the organization. Within the Finance team, this position will also provide support to and routinely interact with various internal stakeholders across Finance and Operations.
Primary responsibilities include:
Project Set-up and closing

Set up new projects using accounting software.

Maintain project records such as change orders and contracts.

Run credit reports for prospective and existing clients.
-
Close out projects using accounting software.
Project Invoicing

Generate and review project invoices to ensure accuracy and compliance with contract terms.

Coordinate with project managers to obtain necessary documentation for invoicing.

Maintain a thorough understanding of project scopes, deliverables, and billing milestones.

Upload invoices plus documentation on supplier sites like Ariba.

Generate deposit invoices for project needs.

Calculate deferred revenue on multi-year service contracts.
Billing Compliance

Ensure adherence to client billing guidelines and contract requirements.

Collaborate with project managers and other stakeholders to resolve any billing disputes or discrepancies.

Conduct regular audits of billing processes to identify areas for improvement and optimization.
Client Communication

Act as the primary point of contact for customers regarding billing inquiries and clarifications.

Establish and maintain positive relationships with customers to enhance communication and resolve any billing-related matters.

Investigate and resolve discrepancies or variances between the customer and company billing records.
Reporting and Documentation

Prepare and maintain detailed billing documentation and records for audit purposes.

Generate regular reports on project billing status, orders, billings forecasts, and key financial metrics.

Provide necessary information and documentations for the month-end and year-end close processes.

Compare AR Aging to the G/L and review any discrepancies.

Calculate provision for bad debt monthly.

Other accounts receivable related reports as requested.
System Utilization

Utilize accounting and billing software to streamline processes and maintain accurate financial records.

Assist in the implementation and improvement of billing systems and procedures.
Primary qualifications include:

BS in Accounting/Finance or related degree preferred

2+ years of experience in billing (AIA a plus), collections, accounts receivables.

Experience in construction accounting is a plus.

Strong oral and written communication skills.
-
Ability to problem solve and resolve issues across multiple teams.

Ability to manage multiple tasks / competing priorities effectively and strong time management skills.

Self-starter who brings energy, enthusiasm and a positive attitude to responsibilities and projects.

Strong interpersonal skills; team player who has the ability to establish positive and productive working relationships within and across groups

Efficient in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint).

Experience with Microsoft Navision, Ariba and payment/billing software a plus.
