Full Time Positions Monday thru Friday Day schedule
This position requires a professional and personable individual who can perform records and office services functions while sitting at the Front / Reception desk of a prestigious law firm. Previous experience with multi-phone line, records management, office services and clerical support experience including using Outlook to schedule conference rooms preferred. Previous experience working in a professional office preferred.
Duties include but are not limited to:
- Greeting clients and visitors and answering visitor inquiries
- File and Maintain Records
- Complete Office Services, Records and Front Desk projects as requested
- Complete requests for creation and closing of files
- Answering and routing incoming calls on a multi-line telephone system
- Scheduling and routing clients as needed
- Scanning, photocopying, faxing and filing documents
- Collecting and routing mail and hand-delivered packages
- Assisting with Trial preparation.
- Assist with maintaining the conference rooms (Set up and Break down)
- Help with other administrative duties as needed
- High school diploma, or equivalent.
- Previous records experience in a legal environment necessary.
- Computer proficiency and data entry skills are necessary..
- Ability to work cooperatively and communicate effectively.
- Knowledge of LegalKey or similar tracking system preferred
- Work involves quality control and a strong attention to detail.
- Work involves varying degrees of standing, sitting, walking, bending, lifting, and repetitive motion.
- Ability to lift a minimum of 50 lbs. with or without reasonable accommodation.
- Going over best practices for lifting and bending
ADDITIONAL RESPONSIBILITIES:
- Assist in the sorting of mail.
- Assist in move, storage and retrieval of records and files as needed.
- Performs other related duties as assigned.
- Adapting to the needs of the client
- Able to work with last Minute or changing priorities which common in this workplace
