Reporting to the Court Clerk, the responsibilities of the part-time Deputy Court Clerk include, but are not limited to, provide exceptional customer service including answering the telephone, assisting customers, and handling monetary transactions; perform administrative duties such as recording court information, preparation/filing of reports, processing data entry, and/or tracking payments; and other duties as assigned. Training will be provided to the successful candidate.
HOURS: A 20-hour work week. The weekly schedule is as follows, but some flexibility may be accommodated or required. The normal schedule is: Mondays & Wednesdays, 11:30 a.m. – 5 p.m., Tuesdays, 1 – 5 p.m., Thursdays, noon – 5 p.m. The deputy court clerk will work all municipal court sessions, which occur monthly on the first and second Monday afternoons and the third and fourth Wednesday afternoons.
WAGE: The hourly wage for the Deputy Court Clerk is $14.00 - $16.00 per hour, commensurate with education and experience.
JOB LOCATION:Work completed primarily at City Hall and at the Perkins Public Library.
· Travel may be infrequently required for training or professional meetings; annual training will be required.
JOB FUNCTIONS:
· Maintain confidentiality
· Perform a large volume of data entry proficiently and accurately
· Preserve, maintain, and protect records and information, as required by law and/or records retention and disposition schedule
· Provide excellent customer service in person or via telephone and accurately answer questions regarding municipal court, court policy, state law, and general information
· Accurately handle and post monetary transactions
· Exhibit strong interpersonal skills while working with a wide variety of people including citizens, elected officials, department heads, staff, vendors, state and federal agencies, etc.
· Complete, as assigned, all tasks associated with the municipal court department including, but not limited to, processing citations, assisting in the preparation of court dockets, recording case dispositions and court orders, preparing reports and assisting in reporting to state agencies, and maintaining accurate and accessible files
· Execute administrative and bookkeeping tasks including, but not limited to, processing and organizing receipts/invoices/etc., completing inventory, ordering supplies, making copies, mailing documents, etc.
· Exhibit proficiency (with training) in the use of city software and related online platforms

- High school diploma or GED
- Three years of full-time work experience in an office environment, retail setting, and/or higher-education studies

WORKING CONDITIONS - The unavoidable, externally imposed conditions under which the work must be performed and that create hardship for the Deputy Court Clerk including the frequency and duration of occurrence of physical demands, environmental conditions, and demands on one’s senses and mental demands.
Physical Demands - The nature of physical effort leading to physical fatigue
Deputy Court Clerk will spend long hours sitting and using office equipment and computers, which can cause muscle strain. The Deputy Court Clerk will also have to do some lifting of supplies and materials from time to time, be able to move heavy items, and be able to push heavy carts to and from City Hall to Municipal Court.
Environmental Conditions - The nature of adverse environmental conditions affecting the incumbent
The Deputy Court Clerk is located in a shared office and will work in a busy open area during sessions of municipal court. The Deputy Court Clerk is faced with constant interruptions and must work with others on a regular basis.
Sensory Demands - The nature of demands on the Deputy Court Clerk’s senses
The Deputy Court Clerk must spend long hours in intense concentration. The Deputy Court Clerk must also spend long hours on the computer entering data, which requires attention to detail and high levels of accuracy. General office working conditions: exposure to noise; ability to work in a stressful environment.
Mental Demands - Conditions that may lead to mental or emotional fatigue
There are a number of deadlines associated with this position, which may cause significant stress. The Deputy Court Clerk must also deal with a wide variety of people on various, sometimes challenging, issues.
