The Administrative Secretary is responsible for providing a variety of administrative, telecommunication, and clerical duties necessary to assist in the operation of the Bethlehem Campus Program, most specifically supporting Leadership Team as needed and directed.
Job Duties / Essential Functions
- Provide computer such as word-processing, spreadsheets, information systems, and database management by utilizing current proprietary software applications.
- Perform telecommunication tasks such as answering phones, connecting callers, scheduling appointments, maintaining phone list, and other forms of verbal or written communication connected with the telephone system as specific programs and services require
- Perform and coordinate the office's administrative activities to relieve program or department officials of clerical work, daily minor administrative tasks, and business details; such as, but not limited to, the opening and closing of client files, filing client documentation by following KidsPeace filing standards/outline; tracking, preparing, and distributing petty cash; and ordering office supplies as specific programs and services require
- Serve as the program or department clearinghouse by organizing and maintaining paper and electronic files, operating and maintaining office equipment; preparing, sorting, and distributing US and inter-office mail; receiving and tracking parcels and packages; and greeting visitors, as specific programs and services require
- Provide training, leadership, and direction to fellow co-workers as requested. Monitor and maintain program or department workflow and assign tasks. Assist Leadership Team with administrative tasks and provide feedback on project planning, office equipment, and office procedures
- Manage inventory of supplies and order as needed. Oversee maintenance of IT equipment as required.
- Complete all other duties as assigned by Program Director.
Qualifications (Education, Training and Experiences)
- Bachelors Degree required, or High School graduate and a minimum of 5'years experience as an administrative assistant/secretary
- Must be at least 21 years of age
- valid driver's license preferred, CPR/First Aid certification required.
- Must have the ability to work evenings, weekends, holidays, flexible hours, and overtime as required.
- Proficiency in English required. Bilingual proficiency in English and Spanish preferred.
