GENERAL SUMMARY
The Editorial Assistant will support the Editorial Office staff of a monthly, peer-reviewed clinical journal in shepherding manuscripts from presubmission to postpublication. This fully remote, part-time, contract position reports directly to the Managing Editor.
PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS
Day-to-day tasks include:
· Respond to presubmission enquiries.
· Invite and confirm commissioned articles.
· Check in new submissions, following up if assistance is needed.
· Invite reviewers, following up if assistance is needed.
· Send reminders to authors on upcoming submissions and late revisions.
· Send reminders to editors on late decisions.
· Track co-author confirmations.
· Draft congratulatory letters.
· Promote journal content on social media (X and Facebook).
· Prepare weekly and monthly blog posts.
· Download PDFs of published articles.
· Other administrative and manuscript-related tasks by the Managing Editor. Examples include creating certificates, gathering data, updating metrics, searching for potential cover images, tracking publication charges, and compiling special articles.
JOB REQUIREMENTS
Job Knowledge and Skills:
Requires excellent written and interpersonal communication skills, the ability to interact in a professional manner with busy clinician-researchers, and superior organizational and prioritization skills.
Must be extremely attentive to detail, handle confidential information appropriately, able to work with minimal supervision once trained in a workflow, and highly computer literate.
Must be comfortable working remotely, with most communication by email or via an online manuscript handling interface. Must have appropriate equipment to use Box Drive, Microsoft Office Suite, and Google Drive.
Education:
Bachelor’s degree is required, preferably in a field related to Biomedicine, English, or Communications/Marketing.
Experience:
1-2 years’ of editorial office experience. Familiarity with peer review, scholarly publishing, Editorial Manager, social media, and Wordpress are desirable.
An equivalent combination of education and experience, which provides proficiency in the areas of responsibility listed above, may be substituted for the above education and experience requirements.
Compensation:
$25-$30 an hour, commensurate with experience.
Schedule:
5 hours per day Monday-Friday, not to exceed 25 hours a week. Flexible times each day may be discussed and coordinated with Managing Editor.
