SUMMARY
The Outreach Assistant position includes duties related to student, family, and community outreach, case management, documentation, and data entry. The position is full-time, in person at the Rancho Cielo Youth Campus in Salinas, CA.
Through education, job training, and individualized counseling, Rancho Cielo empowers participants to become accountable, competent, productive, and responsible citizens. Participants learn how to make good choices—choices for the future, choices to stay out of trouble, choices to be productive, and to act as positive role models for their children. Rancho Cielo’s work reaches much further than those who enroll in our programs; it also touches participants’ families, their children, parents, grandparents, and relatives who witness their accomplishments and new-found dedication.
The following duties and responsibilities are a minimum of 75% of weekly hours (30):
- Monitoring daily attendance for students who are absent and contacting students, and/or parents as appropriate.
- Determine barriers to attendance and initiate services to provide immediate response and mitigate lack of attendance and program participation.
- Coordinate service delivery with Rancho Cielo case management and leadership staff.
- Be trained in the use of PowerSchool and any other platforms used to track and document activities regarding students with repeated attendance issues.
- Prioritize daily students who have been absent for 2 or more consecutive days, followed by those who have less than 80% attendance over two weeks to improve overall attendance.
- As is necessary, and under the direction of the JMCS Regional Director, Site Coordinator, and Head Registrar, the Outreach Assistant will act as support and backup for the Site Registrar and assist in student enrollment and disenrollment, and the obtainment of student transcripts, IEPs, and immunization records.
The following duties and responsibilities are approximately 25% of weekly hours (10):
- Assist Rancho Cielo staff in recruitment and community outreach and
- Provide administrative support to the Rancho Cielo/John Muir Charter School (JMCS) Education program. This may include meeting with community partners or organizations for youth referrals, handing out flyers or brochures, and follow-up communications through phone or emails.
ESSENTIAL DUTIES AND RESPONSIBILITIES include (but not limited to) the following:
Administration (constant):
- Monitor daily JMCS and Rancho Cielo attendance.
- Work with students, families, JMCS and Rancho Cielo case management staff, and community agencies to seek solutions and remove student barriers to daily attendance.
- Document interventions and service delivery (PowerSchool and/or other platform).
- Provide weekly reports of students with attendance problems to the Site Coordinators and Regional Director.
- Assist with student enrollment and disenrollment, and the obtainment of student transcripts, IEPs and immunization records as needed or under the direction of Site or Head Registrar.
- Ensure discretion and confidentiality of student information, including following FERPA guidelines.
- Maintain professional, open channels of communication with Students, Families, and Staff.
- Comply with all applicable federal, state, and school education standards.
- Administer appropriate protocols, procedures, and Student Handbook policies with Students.
- Work with Rancho Cielo and JMCS staff to educate Monterey County schools, community agencies, students, and families about JMCS and Rancho Cielo programs.
- Assist with assessment coordination, graduation, and other program special events.
- Participate in staff meetings, school-wide professional development, mandatory training, and school safety training, including mandated reporter training.
- Perform other administrative duties as assigned.
EDUCATION AND QUALIFICATIONS:
- Minimum of an Associates Degree; Bachelor’s degree preferred
- 2+ years of administrative work experience
- Experience working in an educational setting, as a case manager, registrar, or comparable field or job preferred
- Previous experience working with young adults in a social service or educational setting preferred
- High level of computer literacy and experience using Google Workspace, Microsoft Office Suite, and school-based or other electronic database systems
- Demonstrated professional verbal and written communication skills
- Demonstrated problem-solving and positive interpersonal skills
- Understanding of working with and maintaining confidential information
- Organizing and maintaining large amounts of documentation and files
- Maintaining files and confidential paperwork

Typical Working Conditions
Typical conditions include working in an office setting; occasional lifting up to 50 pounds, carrying, pushing/pulling more than 50 pounds; constant keyboarding, handling, and other repetitive hand motions; constant sitting; and frequent standing and bending. Typical working conditions can include working a variety of classroom spaces. From time to time, they may also involve working outdoors in all types of terrain and in all types of weather conditions at project sites.
Equipment Used
This position requires constant use of keyboarding, computers, telephones, photocopiers, LCD projectors, digital/video cameras, fax machines, printers, and other electronic office equipment.
Compensation:
This is a full-time, exempt, 247-day position. Wages range from $26.29 to $36.82 per hour depending on experience. Medical, dental, and vision benefits are provided.
