The Landscape Administrative Assistant is responsible for managing the daily operations of our office, including administrative support, bookkeeping, and customer service. This position requires exceptional organizational and communication skills, a keen eye for detail, and the ability to multitask efficiently.
Key Responsibilities:
- Answer and direct phone calls and emails in a timely and professional manner.
- Handle all incoming leads in a timely manner.
- Answer and direct incoming emails to the correct departments.
- Perform administrative duties such as filing, data entry, and creating reports.
- Schedule appointments and meetings, and maintain the company calendar with an exceptional eye for detail and conflicts.
- Assist with bookkeeping duties such as accounts payable and receivable, billing, and delinquent accounts.
- Manage office supplies and maintain office equipment.
- Coordinate with field staff to ensure timely completion of projects and appointments.
- Provide excellent customer service to clients, including handling inquiries and complaints in a timely and consistent manner
- Update and maintain customer and project databases including but not limited to Trello, Google Sheets, Service AutoPilot, and What Converts.
- Support the management team with other tasks as needed.

- Proficient in Microsoft Office and QuickBooks.
- Excellent written and verbal communication skills.

- Attention to detail and accuracy is essential.
- Ability to work independently and as part of a team.
- Comfortable working in a fast-paced environment.
Key Performance Indicators:
- Customer Satisfaction is a priority, if we promise something we have to deliver, if we schedule an appointment we have to be there
- Accounts Receivable Aging - No account should be over 90 days past due
- Time Management: Prioritize tasks in order to achieve the most important goals and adjust your schedule accordingly
- Accuracy and Attention to Detail: All appointments must have the correct information and we must keep an eye out for any anomalies that may be cause for a miscommunication or mishap
- Employee Morale: Attitude is the name of the game, we have to keep morale up so our clients and coworkers know we are attentive and ready to help

Job Type: Full-time
Pay: $16.00 - $18.00 per hour
Expected hours: 40 per week
