JOB DESCRIPTION
We are looking for a Front Desk Manager with initiative and organizational skills and who is comfortable learning new software, adept at client communications and willing to assist the graphics department as needed.
KEY RESPONSIBILITIES
This is a full-time role. Applicants are to be available Monday-Friday, 8:00AM-4:30PM and must provide their own transportation.
FRONT DESK MANAGEMENT
- Greet clients in-person, on the phone and via email with a friendly, professional and efficient demeanor
- Manage the front desk and conference area, ensuring it is tidy and organized
- Schedule appointments and manage the office calendar
ADMINISTRATIVE SUPPORT
- Maintain client records and manage project documentation
- Assist with billing, mailing, invoicing, time sheets and other administrative tasks
- Order office supplies and manage inventory
GRAPHICS DEPARTMENT ASSISTANCE
- Light sign assembly (non-fabricated)
- Apply adhesive to wall signage as needed
- Prepare vinyl copy (store hours, etc)
- Catalog and package sign orders in preparation for installation
REQUIREMENTS
- Proven experience in a front desk or administrative role
- Willingness to occasionally work on feet
- Proven computer software literacies and ability to learn new software easily
- Excellent communication and interpersonal skills with a customer-service mindset
- Ability to write/transpose/proofread copy efficiently and without grammatical errors
- Strong organizational and multitasking abilities
- Ability to work independently and as part of a team
- Basic knowledge of Adobe Creative Suite applications is a plus
