Position Summary:
As the Assistant Property Manager, you will have a unique opportunity to contribute to the smooth day-to-day operation of the property, working closely under the direction of the Community Property Manager. Your detail-oriented approach and experience as a collection specialist will be highly valued. You will manage tenant accounts receivable, rent collection, and delinquency maintenance while supporting the Community Property Manager and stepping into their role when needed. Your role will also involve executing lease preparation and filing, promoting the property, and retaining our current tenants. ESSENTIAL DUTIES AND RESPONSIBILITIES:
Accounts receivables: Collect rent and accurately review delinquent accounts and reports. Communicate with residents regarding balances and imputing delinquency notes.
Rent Collection: Collect monthly rent payments for current and past residents, including but not limited to sending out rent notices, monitoring rent payment deadlines, and following up with all past-due accounts. Fill eviction notices when necessary, within the company's time frame.
Tenant accounts: Maintain accurate records of tenant accounts, including rent payments, security deposits, and all other charges and fees. Ensure that all transactions are properly recorded in the company accounting systems.
Aging Reports: Generate reports to track all outstanding balances and identify delinquent accounts. Work with tenants to resolve any payment issues and implement collections strategies when necessary.
Payment Processing: Process incoming payments, including, but not limited to, checks, electronic transfers, and all other payment methods. Reconcile payments with tenants' accounts and update the financial records accordingly.
Communication: Communication is a key aspect of the Assistant Property Manager role. You will be responsible for maintaining clear and open lines of communication with tenants and providing them with updates on their account status, payment reminders, late fees, or penalties. Promptly address tenant inquiries and resolve any billing discrepancies or disputes is crucial. You will also need to effectively communicate with the Community Property Manager, regional manager, and the accounts receivable team, including but not limited to the corporate office personnel.
Financial reporting: Assist in preparing financial reports related to accounts receivable, such as cash flow projects, aging analyses, and collections metrics. Provide regular updates to management on the status of tenant accounts receivable.
Compliance: Comply with all company policies, lease agreements, and relevant regulations governed by the local, state, and federal laws for rent collections and accounts receivables process. Stay up to date with accounting standards and best practices.
Collaboration: Collaboration is a cornerstone of the Assistant Property Manager role. You will work closely with other departments, such as property management, leasing, and account receivables, to ensure the smooth running and seamless coordination of financial activities and information related to tenant accounts. Your ability to effectively share and gather information will be instrumental in this collaborative effort.
Other general duties: Respond to site visits or telephone inquiries, including conducting site tours. Effectively sell to prospects and lease apartments. Work to optimize occupancy and implement or follow an effective lease renewal program.
- Work with the Community Property Manager to direct the efforts of the on-site staff to ensure that apartments are ready for move-in and maintained in a satisfactory manner.
- Thorough knowledge of leasing techniques, sales methods, and property rental information.
- Work with the Community Property Manager on collection efforts, such as, but not limited to, sending emails, knocking on doors to collect rent, putting out flyers, and making phone calls.
- Ensure a professional appearance and manner for self and the staff.
- The Community Property Manager and regional manager determine all other duties.
REQUIREMENTS:
- Associate’s degree (AA) or equivalent from two-year College or technical school; or two to four years related experience and/or training; or equivalent combination of education and experience.
- 2+ years of residential property management or retail sales experience. (For properties 50-400 units).
- Ability to walk up 3 flights of stairs, multiple times a day, 5,000 steps/day including in inclement weather.
- General knowledge of Microsoft Windows based PCs..
- High Proficiency in using Microsoft Office apps including; Outlook, Word, Excel, PowerPoint, OneNote & OneDrive/SharePoint.
- Experience with collaboration apps including Teams, Zoom & WebEx.
- Experience with Apple iOS devices.
- Yardi and/or other management software knowledge highly preferred
