GENERAL SUMMARY/OVERVIEW STATEMENT:
Provide clerical support to the Vascular Diagnostic Laboratory. This involves telephone reception and triage, scheduling patients, and maintaining patient records. This position serves as the focal point and information center for the entire laboratory. The person in this position is expected to function independently and perform a wide variety of complex duties in support of the operations of the lab. The position requires the ability to communicate with patients in a compassionate and professional manner and identify those patients that require urgent care.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
1. Schedules appointments for vascular lab/EKG patients, working with Epic. Must be able to coordinate the scheduling for different areas of vascular testing. Must be able to prioritize the urgency of test requests and to seek help from the Chief Sonographer or Medical Director when necessary.
2. Greets patients, verifies that patient is scheduled, verifies demographic information, and notifies technologist that patient has arrived.
3. Responsible for three (3) phone lines and shares the responsibility of three (3) phone lines for a staff of 12. This responsibility includes answering phones, forwarding calls, taking messages or using the paging system. Includes receiving calls from referring physicians requiring prompt forwarding of information to correct staff member for action.
4. Answers patient inquiries regarding procedures, billing, etc. or refers to appropriate person
5. Monitors all inpatients in bay area, watches for physical changes, alerts necessary personnel when /if changes occur.
6. Help infirmed outpatients with phone calls or transportation issues, calling for transport to bring wheelchair bound pts to holding areas in lobbies
QUALIFICATIONS:
- High school diploma or GED required; post-high school education preferred.
- Minimum one year of applicable work experience required.
- Additional training in office systems preferred
SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:
- Knowledge of practice operations and standards.
- Understanding of procedures including filing, copying, scanning, printing, and faxing.
- Ability to use phone system (answer and screen calls, put on hold), answer routine questions, and give routine information.
- Ability to interpret information as appropriate, answer routine questions in the most professional manner, and communicate in a professional, courteous, clear, and concise manner.
- Ability to manage work processes in a neat and orderly way and to sort and alphabetize.
- Ability to manage multiple tasks effectively, follow established protocols, and work within systems.
- Ability to correspond and communicate with others clearly and effectively in writing (via e-mail, memo, or interoffice note) and to take complete and accurate messages.
- Ability to type and enter data at an entry level. Entry level understanding of applicable systems.
- Understanding of the appropriate use and importance of related forms.
- Basic understanding and use of medical terminology.
- Basic comprehension of insurance types and referral process.
- Basic comprehension of registration and fiscal information.
- Knowledge of EPIC EHR application preferred.
- Must be able to relate well with patients, physicians, sonographers and administrators.
- Knowledgeable and compliant with all hospital, State, and Federal requirements (where applicable to job performance), including policy and procedures with The Joint Commission and HIPAA.
WORKING CONDITIONS:
Hospital based ambulatory practice. Normal patient environments where there are some exposures to communicable diseases, unpleasant odors, needle, and blood products.
