Reporting to: Operations Manager
Job Summary: The role of a Customer Service Representative (CSR) is to support all office business activities, with a strong emphasis on the Order Management process. The successful candidate will excel at customer service, have a solid grasp of best accounting practices, and demonstrate exceptional organizational skills. They must be adept in communication, computing, and problem-solving both in the moment and long-term. The CSR will need to be extremely organized, adaptable, and resourceful to keep the office running smoothly.
Essential Duties and Responsibilities:
Reception/File Clerk
- Answer incoming company phone lines professionally, ensuring proper routing and gatekeeping.
- Maintain office phone list and company calendar.
- Provide project support through printing, faxing, and copying.
- File documents for all areas of the company, cycling items through “on-file” milestones.
- Organize on-site/off-site storage routing.
- Document control.
Customer Service/Order Administration
- Collaborate with purchasing and sales to provide product quotes.
- Assist customers in placing orders, ensuring all information is complete.
- Process payment information, including contact details, addresses, and phone numbers.
- Handle order entry, confirm pricing and delivery, and follow up on any deviations.
- Communicate activity to all business units accurately and promptly.
- Source parts needed for company and client needs, organize purchase orders, coordinate with receiving, close purchase orders, and resolve any receiving issues.
- Prepare and process customer PO’s, including ordering inventory necessary to finalize the PO’s
Data Entry
- Assist with data entry for Operations, Engineering, and Accounting.
- Provide data entry for third-party databases.
- Record and maintain all business contacts in the central database.
Accounting Support – AR/AP
- Process invoices promptly.
- Monitor accounts receivable and perform first-line collections.
- Monitor accounts payable and send out payments according to company policy.
- Liaise to resolve discrepancies or disputes.
- Provide status/activity reports to clients.
- Post client payments and manage vendor invoices.
Inventory Control
- Verify customer inventory matches internal databases (QC General & QuickBooks).
- Issue stock items and ensure databases are accurate for month-end reporting.
Experience Requirements
- Ability to receive and make phone calls.
- Clear and professional communication skills.
- Proficient in writing professional correspondence.
- Strong ability to build and maintain client relationships.
- Prompt response to customer inquiries, anticipating needs/questions.
- Exceptional attention to detail and organizational skills.
- Quick and accurate data entry skills.
- Proficiency in Microsoft Office applications.
- Ability to handle confidential information with sensitivity.
