Job Summary:
Studio T Arts & Entertainment, a nonprofit youth empowerment & arts organization, seeks a detail-oriented, organized and community-minded individual to join our administrative team as an Accounting Clerk. Reporting to the Controller, this position offers growth potential and competitive compensation. The Accounting Clerk provides data entry to cloud-based accounting software and bookkeeping administrative support for entire organization. Works with Controller and others on STAE management team to assist with payables, receivables, payroll and cash management.
Duties and Responsibilities:
- Enter Accounts Payable invoices into QuickBooks upon receipt and manage payment schedules and vendor information within QuickBooks, and in Excel
- Split invoice entries in QuickBooks to allocate expenses to various departments, grants and projects
- Distribute digital documents to department heads for approval of invoices
- Review payroll and merchant account downloads to QuickBooks for accuracy and adjustment
- Answer A/P or Receivable requests and questions from management or STA department heads
- Ensure underlying data in QuickBooks is complete for use in monthly financial reports and department A/P approval review forms.
- File papers and documents into appropriate Finance & HR files
- Prepare bi-weekly Accounts Payable statements for approval
- Assists with Time/Attendance reports, payroll processing and troubleshooting as necessary
- Deliver deposits to the bank no less than weekly
- Assist with cash management for occasional fundraisers and/or events
- Follow up with vendors, regulatory agencies, etc. as needed by Controller
- Performs other duties as assigned
QUALIFICATIONS AND SKILLS
The successful candidate will have a minimum of two years related employment experience, with work in a youth program or the nonprofit sector preferred. S/he will have a working knowledge of QuickBooks Online, Sage or other cloud-based accounting platforms. S/he will have an understanding of basic accounting concepts such as classes/categories, customer and job cost allocations, etc. Candidates should have some experience in Accounts Payable processing and reporting as well as fundamentals of detailed Accounts Receivables and job costing. Candidates must have capacity to go to off-site bank on a regular basis (approx. 4 miles from main office.)
WORKING CONDITIONS
- General office environment – sitting for long periods, standing, walking, typing, carrying, pushing, bending. Work is conducted primarily indoors with varying environmental conditions such as fluorescent lighting and air conditioning
- Noise level is usually low to medium
- Desktop computer provided
- Must have transportation to/from bank (approx. 4 miles from office)
- Occasional lifting of up to 35 lbs.
