GENERAL SUMMARY:
The Front Desk/Receptionist position is responsible for greeting and directing all visitors at Fitzmaurice Community Services Administrative Building and answering/directing incoming phone calls to the proper administrative staff in both the Administrative and Client Services Building. In addition to the following tasks listed in essential functions, the front desk/receptionist should be well versed in all departments and be prepared to assist any department necessary.
ESSENTIAL FUNCTIONS:
- Manage postal meter
- Maintain FCS forms; ensure the hard copies are up to date and supplied
- Manage office shredding (DES)
- Order, write out, and mail company birthday cards
- Order, write out, and mail company anniversary cards
- Order supplies for administrative and client services buildings
- File visitor, and employee sign-in sheets, in addition to the custodian daily checklist
- Maintain paper in the office copy machine
- Deliver in-coming faxes; manually or via e-mail
- Receive the mail/package deliveries – distribute mail and alert of package deliveries
- Open bills for Accounts Receivable and stamp/date
- Purchase stamps
- Receive and document cash and checks into the agency
- Check answering service twice daily
- Schedule company conference rooms/monitor usage
- Schedule and monitor company vehicle usage
- Secure lobby and administrative office door at the end of the day
- Track usage of office supplies/program supplies – gloves, paper, etc…
- Print weekly PROMIS reports for finance
- Verify scanned AWC reports on Connect weekly
- Print and update Policies and procedures for programs/group homes
- Track fire extinguisher renewals for Lifesharing providers
- Assist in mass mailings
- Be available to Client Services for special needs
- Mail checks prepared by Accounts Payable and Representative Payee Services
- Change server back-up tape daily
- Custodian timesheet – prepare and expedite
QUALIFICATION STANDARDS:
- High School Diploma
- Computer knowledge; Microsoft office business
- Business machinery knowledge
- Excellent verbal and written communication skills
