Position Summary
The Customer Service Representative is responsible for performing administrative and office support activities for Sales department and to multiple supervisors including overseas Sales supervisors and other functional supervisors upon delegation.
Duties include handling of telephone calls into Sales department, receiving and directing visitors, word processing, filling, management and processing of customers’ routine product and service requirements, maintaining data integrity and work flow related to Sales functions in SAP, preparation of reports related to Sales functions, assisting in chemical inventory and shipment planning and monitoring, assisting in Finance related activities including preparation of invoice and related documentation, providing back-up within the Sales Administrative team, mentoring of Administrative Assistant/s within the Sales Department. Extensive software skills are required (SAP skills mandatory), as well as strong communication skills. Expected to be actively involved in operations related activities including to study and review company or department procedures, participation in quality and safety related activities, assisting in CA/PA requirements.
Essential Duties and Responsibilities
- Responsible for all administrative and operational and SAP related processing of routine requirements related to allocated business accounts.
- Ensure all required internal and external reports related to allocated business accounts are accurate and updated.
- Assist in chemical inventory and shipment planning and monitoring to ensure uninterrupted supplies of products and services to allocated business accounts.
- Performs duties within QEHS expectations and be aware and active in all QEHS aspects in our organization including company or department procedures, quality and safety related activities, CA/PA involvement.
- Liaison with sales, purchasing, sourcing, manufacturing, QC and supply chain to ensure goods are delivered on time in full.
- Help establish and upkeep the procedures on all activities pertaining to ISO 9001, ISO 14001, ISO 45001 and any other legal /customer’s requirements (for sales and operations related).
- Familiar with various SAP systems and have the ability to adapt to different modules such as Sales & Distribution (SD) or Materials Management (MM) or Business Partner (BP); not limited to creating new business partners, new product and generating invoices.
- Able to work after-hours to collaborate with overseas (TW & SG) not limited to external vendors and IT teams to troubleshoot and resolve SAP system errors .
- Maintained SAP reports and queries, providing team with real-time insights not limited to customized reports and data analysis to identify inventory trends and optimize stock levels.
- Collaborate with Key stakeholders to develop and implement SAP user procedures for AZ plant.
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Clerical and supervisory/administrative experience preferred
- Minimum 5 years of experience in a similar position
- Knowledge of SAP a strong advantage
- Adequate command of English, both verbal and written
