Job Description:
We are seeking an Office Manager to join our team and oversee the operation of our office operation. As the Office Manager, you will play a crucial role in ensuring administrative tasks are efficiently handled, office procedures are organized, and a positive work environment is maintained.
We are an industrial Heat Treating company. Prior experience with Manufacturing or other industrial setting is highly preferred.
Responsibilities not limited to:
- Administration Coordination: Organize and coordinate various administrative tasks and office procedures to ensure efficiency and productivity.
- Invoicing and Quoting: Complete daily invoicing, prepare quotes, and ensure accurate documentation of finances.
- Paperwork Management: Electronically file paperwork and documents, ensuring easy access and retrieval as needed.
- Purchase Order Management: Prepare purchase orders and correlate with customer material.
- Supply Management: Order office supplies for the workplace as needed, ensuring adequate stock levels are maintained.
- Communication Handling: Answer and direct incoming calls, providing assistance or routing calls appropriately.
- Customer Communication: Maintain communication with customers via email, ensuring timely responses and efficient resolution of inquiries or issues.
- Support to General Manager: Assist the General Manager with various tasks and projects as needed, contributing to the overall efficiency of operations.
Skills and Qualifications:
- Proven Experience: Demonstrated experience as an Office Manager, Front Office Manager, or Administrative Assistant, with a track record of successfully managing office operations.
- Administrative Knowledge: Strong understanding of office administrator responsibilities, systems, and procedures, with the ability to implement and streamline processes.
- Technical Proficiency: Proficiency in MS Office suite, particularly Excel and Outlook, for efficient data management and communication.
- Organization and Time Management: Ability to multitask, prioritize tasks effectively, and manage time efficiently in a fast-paced environment.
- Attention to Detail: Meticulous attention to detail and strong problem-solving skills to ensure accuracy and resolve issues effectively.

Job Type: Full-time
Pay: $24.00 per hour
Expected hours: 40 per week
