Established ACCOUNTING OFFICE
What you will do as an Administrative Assistant:
- Very good Word, Excel and Outlook (Will be Tested)
- Answer and direct incoming calls
- Schedule calls and meetings
- Maintain and update contact lists
- Manage and update workflow systems
- Utilize Word and Excel on a daily basis
- Scan and maintain data management
- Assist with accounts payable, billing, and accounts receivable
- Write and distribute email, correspondence, memos, letters, faxes, and forms
- Act as a point of contact between clients and staff; effectively and timely manage communications; provide courteous support to clients/visitors/staff
- Assist with process ing tax returns
- Manage office supplies by taking inventory, placing orders, and researching cost-saving opportunities and new suppliers
- Work closely with administrative staff
- Work in a fast-paced environment with multiple priorities
Qualifications and attributes you will need:
- Strong written and oral communication skills
- Ability to maintain confidential and sensitive information with professionalism and discretion
- Strong customer service skills
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience as an administrative assistant or in a similar role, preferably in an accounting or professional services firm.
- Proficient in MS Office Suite (Word, Excel, Outlook, etc.)
- Excellent basic math skills
- Strong organizational skills and the ability to multitask effectively.
- Excellent attention to detail and accuracy in completing tasks.
- A sense of urgency regarding meeting Federal, State and client deadlines
Responsibilities:
- Perform clerical duties such as answering phone calls, responding to emails, and
filing documents
- Coordinate and manage projects, ensuring deadlines are met and deliverables are
completed
- Proofread and edit documents for accuracy and clarity
- Plan and organize events, including logistics, vendor coordination, and attendee management
- Provide personal assistance to executives or managers as needed
- Maintain office supplies inventory and place orders as necessary
Experience:
- Proven experience in an administrative role
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent attention to detail and accuracy in all work performed
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications
- Exceptional communication skills, both written and verbal

Job Type: Full-time
Pay: $27.00 - $29.00 per hour
