Overview:
We are seeking an experienced Office Manager to join our Optometry practice. The ideal candidate will be organized, detail-oriented, and proficient in office management tasks in a private Optometric practice.
Duties:
- Oversee and manage the office operations efficiently
- Coordinate front desk activities, including checking patients in and out, answering phones, handling patient inquiries, scheduling appointments, preparing routing sheets, and verifying insurance.
- Perform administrative tasks such as data entry, scanning, charting, filing, and maintaining office supplies
- Schedule management for appointments and meetings
- Plan and run monthly staff meetings and bi-weekly 1:1’s with team members
- Communicate effectively with staff, clients, and vendors such as, frames, lens, and drug reps
- Utilize Electronic Health Record system for financial record keeping, including applying insurance payments
- Work with billing agency to address claim denials and ensure efficient insurance collection
- Billing patients for remaining balance after insurance payment
- Backfill front desk, Ophthalmic tech, and Optician functions as needed
Experience:
The successful candidate should possess the following skills:
- Proven experience in Optometry office management is strongly preferred
- Optician experience is highly preferred
- Experience with optical billing is a strong plus
- Proficiency in EHR’s and other office software
- Strong organizational skills with attention to detail
- Ability to multitask and prioritize tasks effectively
- Experience in vendor management
- Excellent communication skills both written and verbal
