Position Title: Customer Service Representative Team Member- Unicorn Status Required
Location: Violet Crown Veterinary Specialists, 14360 Falcon Head Blvd Suite 140, Bee Cave, TX
Team Size: 85
Reports To: Customer Care Supervisor
Schedule: Shift-based, approximately 8-12 hours per day between 12:00 a.m. to 11:59 p.m. with a 30 minute-1 hour lunch break, depending on the shift length. Typically 4-5 days per week, 20-40 hours per week.

Responsibilities
Client Interaction:
*Greet customers with a magical touch that makes them feel instantly at home. *Answer questions and assist clients with a combination of charm and professionalism. *Provide clear instructions for expectations and keep clients updated every 15 minutes while they wait. *Respond to complaints with poise, empathy, and a commitment to resolution. *Conduct follow-up calls after patient checkout to ensure client satisfaction and patient wellbeing.
Administrative Duties
* Handle incoming calls and schedule appointments with meticulous attention to detail. *Prepare all required data in advance to streamline client visits. *Make follow-up and appointment reminder calls that showcase your dedication to client care. *Generate and monitor estimates and invoices, ensuring accuracy and transparency. * Manage records requests and maintain a well-organized hospital schedule.
Financial Tasks
* Confirm invoices have appropriate charges. *Provide clients with clear and accurate financial updates regarding ongoing care costs. *Assist in collecting deposits and closing out invoices with precision.
Facility Maintenance
*Maintain a clean and welcoming work environment that reflects our commitment to excellence. *Ensure all client-facing areas are sanitized, organized, and inviting.
Communication
*Deliver friendly, high-quality client care to patients and their human companions. *Handle phone calls professionally, answering inquiries promptly and accurately. *Communicate effectively with clients about their pets’ health, providing educational information without giving medical advice.
Follow-Up
*Ensure doctor follows up on diagnostic results from their shift or the previous night. *Keep clients of inpatients informed via email, text, or calls. *Update rDVM's, ensuring they receive the necessary records.
Miscellaneous
We may have additional tasks and will review them with you as they come up.
Qualifications
*Unwaveringly friendly attitude, especially when dealing with disgruntled clients. *Proven reliability and responsibility, with the ability to maintain scheduling commitments. *Quick problem-solving skills to address client concerns effectively. *Exceptional verbal and written communication skills. *Keen attention to detail and ability to multitask effortlessly. *Basic knowledge of veterinary terminology and hospital procedures is a plus.
