The incumbent is responsible for overseeing the Division's Public Records Act (PRA) requests from the public and other governmental agencies; responsible for researching information for the Director's Office Media inquiries; works closely with the Assistant. Chief Counsel and Office of the Director's Legal Unit in preparing and responding to sensitive PRA requests and determining whether there are legal exemptions from disclosure; prepares draft of legally sufficient responses. Ensures that each request is logged, analyzed, and researched within the Division's databases, responded to in a timely manner, redacted prior to disclosure, excluded or attorney client-privileged information are thoroughly checked before sending documents, payments are received, and confidential information is maintained.
The incumbent will analyze Public Records Act requests and determines whether there are legal exemptions from disclosure; prepares draft of legally sufficient responses to the requests; oversees the gathering and disclosure of documents; identifies the legal need for redaction and performs the redaction prior to disclosure. Responsible for receiving payments and reimbursements resulting out of the PRA process. Monitors and logs each request to ensure that response is timely. Directs and coordinates the work of the Management Services Technicians and Office Technicians assigned to gather information found searching under Division's Case Management System statewide.
Additionally, the incumbent will routinely track and update the division's statewide inventory of equipment and supplies, process requisitions for supply orders, equipment, and services and review and process invoices for telecom services and language interpreter services utilizing the Financial Information System for California (FI$Cal), ensuring timely payment of services. The SSA will also assist and track multiple wide ranging facility projects and process mass procurement orders for LCO district offices.

The duties of this position are performed in an office setting. Telework schedules during the COVID-19 pandemic are applicable, as appropriate and in accordance with current policy and practices of the Department. Staff are currently working rotational schedules in office to receive shipments of supplies and equipment and send out supplies and equipment to district offices.
