Job Summary:
The role will support the company’s Sales team, with a primary focus on Sales support activities. The role requires proficiency in using an ERP system. The successful candidate will assist with Sales-related tasks, maintain records, handle customer inquiries, and support Sales operations; this includes but is not limited to capturing work and customers generated from industry leads to provide additional profitable gross revenue for the Company and give Company’s customers the confidence that the Company’s services and work products meet or exceed the customer’s expectations and Company’s competitors.

DUTIES AND RESPONSIBILITIES:
1. Order Entry and Management:
- Utilize the ERP system to accurately enter customer orders and ensure all relevant information is accurately captured (willing to train to use company's ERP system).
- Monitor and support the order process, including order confirmation, order entry, and delivery tracking.
- Collaborate with the production team to ensure timely order fulfillment and resolve any issues that may arise.
2. Sales Support:
- Assist the Sales team in preparing quotes, entering new customer information.
- Maintain the ERP database of customer information, including contact details, purchasing history, and preferences.
- Respond to customer inquiries, provide production status updates, and address any concerns or complaints in a professional manner.
- Support the Sales team in managing customer accounts and maintaining positive relationships.
- Provide Sales support, including managing phone calls, emails, and correspondence.
3. Accounting Activities:
- Coordinate with the Accounting department to ensure accurate and timely processing of invoices, payments, and receipts.
- Support the Accounting team with customer accounts and resolve any discrepancies or billing issues.
4. Collaboration and Communication:
- Collaborate with cross-functional teams, including production, procurement, and logistics, to facilitate smooth order processing and customer service.
- Maintain effective communication channels with internal departments and external customers to ensure timely and accurate information exchange.
- Contribute to team meetings, providing updates on Sales activities, customer feedback, and process improvements.
QUALIFICATIONS:
- High school diploma or equivalent; additional education or certification in business administration or a related field is a plus.
- Previous experience in office administration, sales support, or customer service roles is preferred.
- Proficiency in using ERP systems for order entry and accounting activities (willing to train to use company's ERP system).
- Strong organizational skills with the ability prioritize tasks effectively.
- Excellent communication and interpersonal skills to interact with customers and internal teams.
- Attention to detail and accuracy in data entry and record keeping.
- Excellent written and oral communication skills
- Basic understanding of accounting principles and processes.
- Proficient in using standard office software, such as MS Office (Word, Excel, Outlook).
EXPERIENCE:
- Proven experience in a customer service or sales support role, preferably in a related industry or with a CNC tube bending and tube laser cutting company.
- Familiarity with using an ERP system for order entry and managing customer-related activities.
- Strong communication and interpersonal skills with a customer-focused approach.
- Excellent organizational skills, attention to detail, and ability to multitask effectively.
- Basic understanding of accounting processes, including accounts receivable and payable.
- Proficiency in standard office software, such as MS Office (Word, Excel, Outlook).
- Demonstrated ability to work collaboratively in a team environment and support cross-functional teams.
WORK SITE:
Work to be performed within Company's Office located in Placentia, CA; remote work is not available for this position.
