SUMMARY
The Executive Assistant will primarily support the Chief Financial Officer (Executive) in order to relieve as much administrative detail as possible. Foundational financial analysis skills will also be required to perform the administrative duties of this role as well as a strong working knowledge of Excel and other Microsoft Office applications. Primary responsibilities will include the administrative coordination and documentation of quarterly MALCO and Allowance Committee meetings, scheduling and preparation for other internal and external meetings, assistance in the preparation and distribution of Board and management meeting materials as needed and assistance in the management of email, calendar and expense reports. Will need to stay informed of activities relating to the C-Level and Credit Union wide programs and initiatives, apprising appropriate leaders of issues when deemed necessary. Must be able to work autonomously and have the ability to multi-task, identify, and prioritize all related functions while maintaining an open line of daily communication with the Executive. ESSENTIAL DUTIES AND RESPONSIBILITIES

Schedules and coordinates internal and external meetings, conferences, and special events, ensuring the Executive is prepared through compiling data, statistics, and other information and materials.

Prepares agendas, presentations and other materials to support all meetings facilitated by the Executive.

Synthesize high-level summaries from multiple sources, including articles, blogs, webinars, and meeting notes, for ease of understanding in a precise and concise manner.

Completes reports, presentations, documents, and resolutions as needed.

Records meeting details and/or minutes as needed, disseminates as appropriate. Some meetings may require specific detail to meet established regulatory requirements.

Maintains Executive calendar, exercising considerable discretion and judgment as to priorities and effective use of the Executive's time.

Completes expense reports on behalf of the Executive in a timely manner.

Coordinates complex travel arrangements for the Executive, ensuring that all necessary files, materials, and supplies are assembled and itinerary prepared.

Responsible for any onsite or offsite event management and logistics related to the Finance & Accounting team as requested, including document and itinerary preparation, scheduling the room or venue, catering, setting up and breaking down after the meeting.

Gather, compile, organize submissions for the Financial Blog on the Hub.

Works with Finance & Accounting team to plan and implement employee engagement activities and communications, including posting in Connect and selecting, ordering and ensuring delivery of any employee gifts.

Participates in planning and drafting of certain internal communications, often working with the Executive, Accounting SVP, Finance VP and/or Finance & Accounting team.

Serves as a confidential advisor to the Executive by facilitating, reviewing and keeping abreast of major Finance & Accounting related issues and communications throughout the Credit Union. Disseminates employee related issues to the appropriate leadership level.

Interprets requests and helps implement action, deciding whether Executive should be notified of important or emergency matters. Unique situations will require a tailored approach and sound judgment.

Initiates routine and non-routine correspondence and other written materials under own signature or for signature of the Executive.

Cross train on defined responsibilities with other Executive assistants and Board Liaison.

Assists the Executive with file organization and management, both electronic and hard copy format

Triages mail, emails and telephone calls for action. Resolves routine and complex inquiries. Refers inquiries to the appropriate person and follows-up to ensure complete and timely responses.

Backup for CFO mail handling.

Assists with special projects as directed by the Executive.
EDUCATIONAL AND WORK EXPERIENCE REQUIREMENTS
-
5+ years of experience operating in and /or supporting Executive Level Staff members.
-
Expertise in supporting and/or managing the Administrative functions for an organization, preferably in the area of Finance & Accounting.

Project support/lead experience.
-
Experience acting as a company liaison, managing relationships with external vendors, employees, management and others.

Experience with document management and information reporting.

Advanced MS Office skills and experience required. Specific knowledge and experience with Excel is critical.

Bachelor’s Degree preferred or equivalent combination of experience and training that provides the required knowledge, skills and abilities. This will preferably include Business Administration, Accounting, Communication and Management Education.

PHYSICAL REQUIREMENTS
To perform this job successfully, the employee must be able to perform each essential job duty satisfactorily. All employees must be able to communicate face to face or through technology with or without reasonable accommodation. Employee will be in an office environment (well-lighted, heated and air-conditioned) typically stationed at a desk or table. Employee will be asked to sit and stand for various increments of time, and to lift/push up 10 lbs. Clerical office duties on various forms of technology are required.
