STATEMENT OF DUTIES:
Providence Diamond is looking for a skilled Part Time Bookkeeper to maintain company financial records. The Part-Time Bookkeeper is a financial professional who is responsible for updating Providence Diamond’s financial accounts and records. Their duties include checking accounting records for accuracy, tracking invoices and payments and maintaining a system for organizing company documents. As a Part-Time Bookkeeper at Providence Diamond, you will play a crucial role in maintaining accurate financial records by entering invoices, sales, and deposits into QuickBooks. Your attention to detail and proficiency in QuickBooks will be essential in ensuring our financial data is up-to-date and accurate. You will be handling sensitive information related to diamonds and precious metals, so a high level of integrity and precision is required. Payroll functions may be included.
FUNCTIONS AND RESPONSIBILITIES:
- Maintain financial transaction records by establishing accounts, posting transactions, and ensuring legal compliance.
- Develop a chart of accounts that defines bookkeeping policies and procedures.
- Maintain subsidiary accounts by verifying, allocating, and posting transactions.
- Prepare financial statements, such as ledgers, income statements, and balance sheets.
- Utilize the appropriate accounting software to manage and automate financial tasks when relevant.
- Assist with creating budgets, financial forecasts, and quarterly reports.
- Collect, analyze, and summarize data for tax forms according to local and federal mandates.
- Ensure proper and secure protocol for payroll is observed during regular payroll processing.
- Continually administer benefits programs with accuracy and efficiency, regularly reviewing benefits offerings for cost efficiency and enhancements.
- Perform associated audits, to ensure compliance with government and vendor requirements.
- Support special project needs as requested.
- Ensure that proper security procedures are in place to protect team members, guests and company assets.
- Fully understands and complies with all federal, state, and municipal regulations as required.
- Create a culture of fairness by following guidelines, processes and policies, and training programs, and by maintaining healthy boundaries with team members.
- Performs other duties as assigned.
EDUCATION AND EXPERIENCE
REQUIRED QUALIFICATIONS:
- High School Degree required; college degree preferred.
- A minimum of two years bookkeeping experience is required.
- Proficient with Microsoft Office (MS Word, Excel) and Google Office Management.
- Proficient with GAAP Accounting Principles.
- Understanding and useful knowledge of Accounting Software (spreadsheets, formulas, and data analysis tools).
- Proficiency in QuickBooks is mandatory
- Capable of responding to and resolving accounting issues and discrepancies.
- Strong attention to detail and accuracy.
- Knowledge of relevant tax requirements and how to prepare basic tax documentation.
- Must be flexible with time and able to adjust and adapt to a changing work environment.
- Excellent written and verbal communication skills. Proficient in the English Language.

- Hours: 8 AM - 12 PM or 10 AM - 2 PM,
- In Office Position: Monday through Friday
- Sit, stand, and view the computer screen for extended amounts of times.
- Ability to perform all functions as described in the job description, with accommodations as requested.
- Work with various office equipment and answer phones.
- Previous bookkeeping experience, preferably in a retail or jewelry setting.
- Work in office setting, independently and manage time effectively.
- Excellent communication and interpersonal skills.
- High level of integrity and trustworthiness, especially when handling valuable items.
- Ability to lift up to 20 lbs.
POSITION STATUS: This is a part-time position.
COMPENSATION: $18 to $22 per hour
