Job Overview
The Donor Relations Coordinator will play a crucial role in maintaining and enhancing relationships with agency donors, ensuring they feel valued and appreciated. This position involves developing and executing donor engagement strategies, managing donor communications, and supporting fundraising initiatives.
Key Responsibilities
Donor Engagement and Stewardship
- Send regular updates via newsletters that highlight the organization’s achievements and the impact of donor contributions.
- Host quarterly donor meetups to strengthen Florida Impact relationships with donors, increase their engagement, and build a more supportive community. Create a feedback form to be used during meetups that will allow for collection of quantitative and qualitative suggestions for improvement, which will ensure continuous improvement and accountability.
- Coordinate and execute donor recognition activities, including thank-you calls, letters, and special events. Create cultivation strategies. such as Tailored or Personal handwritten thank-you notes with personalized messages to acknowledge donations and involvement.
- Maintain accurate and detailed records of donor interactions in the donor database.
- Develop and implement donor engagement plans to cultivate and retain a diverse donor base.
Communications and Reporting
- Create an agency Impact Report that details how donations have been used and the outcomes achieved to assist with future funding opportunities.
- Collaborate with the communications team to create compelling donor-focused content for newsletters, social media, and other channels
- Design and create newsletter materials monthly with compelling messaging and imagery,
- Strategically crafted to attract and inspire current and prospective donors.
- Respond promptly to donor inquiries and provide excellent customer service.
Fundraising Support
- Create funding recognition levels to inspire donors to contribute towards Florida Impact's mission. Starting with a donation range of $100-$10,000+. Recognition levels will be based on Florida Impacts project initiatives and fundraising goals.
- Work with the Director of Development to identify potential major donors and create personalized cultivation plans.
Database Management
- Develop a donor tracking tool that includes data collection to assess donor engagement, past contributions, and engagement history
- Ensure the donor database is accurate and up-to-date.
- Generate reports and analyze data to inform donor engagement strategies.
- Track and report on key performance metrics related to donor retention and engagement.
- Use tracking tools to analyze donor data and create a conclusive document of best donor engagement practices to be used by future VISTAs and staff.
Community Outreach
- Table at one local event per month. Collaborate with community partners, schools, and churches to assist with hosting at least two targeted outreach events, aiming to speak to 40 people throughout the events.
Qualifications
o Bachelor’s degree in communications, marketing, nonprofit management, or a related field. (preferred, not required)
o Minimum of 2 years of experience in donor relations, fundraising, or a related area.
Skills and Competencies
o Excellent written and verbal communication skills
o Strong organizational and project management abilities.
o Proficiency in donor management software (e.g., Salesforce, Raiser’s Edge) and Microsoft Office Suite
o Ability to work both independently and as part of a team.
o Strong interpersonal skills with the ability to build and maintain relationships.
