Job Description
Position Summary: The Executive Assistant is responsible for providing comprehensive administrative support to the CEO. The role involves managing schedules, coordinating meetings, handling correspondence, and performing various tasks to ensure the smooth operation of the executive's personal and professional life.
Administrative Support:
· Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
· Prepare and edit correspondence, communications, presentations, and other documents.
· Handle incoming and outgoing communications, including phone calls, emails, and mail.
· Coordinate and organize meetings, including preparing agendas, taking minutes, and following up on action items.
Personal Assistance:
· Assist with personal tasks for the executive, such as managing personal schedules, handling personal errands, and coordinating family-related activities.
· Oversee household management, including coordinating with household staff and managing home-related projects.
· Plan and coordinate personal travel arrangements, including booking flights, accommodations, and transportation.
Project Management:
· Assist in the planning and execution of special projects and initiatives.
· Conduct research and gather information to support decision-making processes.
· Track project deadlines and ensure timely completion of tasks.
Confidentiality and Discretion:
· Handle sensitive information with the highest level of confidentiality and discretion.
· Ensure security of executive's confidential information and personal data.
Qualifications:
· Education: Bachelor’s degree in Business Administration, Management, or a related field preferred.
Experience: Minimum of 3-5 years of experience as an executive assistant, personal assistant, or in a similar role.
Skills:
· Excellent organizational and time-management skills.
· Strong written and verbal communication skills.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
· Ability to multitask and prioritize tasks effectively.
· High level of professionalism and interpersonal skills.
· Problem-solving and decision-making abilities.
· Ability to work independently and as part of a team.
Working Conditions:
· Full-time position with standard office hours; however, flexibility is required to accommodate the executive’s schedule, including occasional evening and weekend work.
· May require travel for both business and personal purposes.
