Job purpose
Primary function involves managing all client records and scheduling of psychiatric appointments and assists with administrative office duties.
Duties and responsibilities
- Align practice and work with the agency mission, vision, guiding principles, the trauma informed Sanctuary Model®, the Neurosequential Model and the Re-ED philosophy.
- Acts as primary center receptionist, as determined by center programming.
- Supports psychiatrist, makes pharmacological management appointments and confirms with clients and families.
- Confirms and helps with cancellations of intake assessment appointments.
- Enter client related information into PEP Portal and prints weekly progress notes lists.
- Assists case management program personnel and clients, as needed.
- Ability to assist in maintenance of, including but not limited to, budget issues, purchase orders, petty cash disbursements, staff timesheets and excess cost/tuition billing, etc.
- Facilitates effective communication amongst staff, administration, new hires, visitors, and outside agencies.
- Handles telephone operations, including but not limited to, distributing calls, making appointments, taking messages, allowing access to building, use Evolve/Osmosis.
- Performs clerical duties, related to, but not limited to, data collection/entry and computer reporting as assigned by Connections Director and/or other staff.
- Ability to operate office equipment, including but not limited to, computer, copy and fax machines, etc.
- Other such duties as assigned by Connections Director.
- Participates in all required trainings, including but not limited to; First Aid, CPR, Blood Borne Pathogens, Cultural Responsiveness, and Standards of Practice.
- Participate in staff development activities, team meetings, and staff meetings as scheduled or assigned.
- Ability to work respectfully with a culturally diverse population of clients.
- As a representative of the agency and profession, present self with decorum and in dress that is appropriate to the day’s activities.
- Adhere to PEP policies and procedures
- Order/maintain office/kitchen/business/cleaning supplies.
Qualifications
- High School Diploma.
- Successful secretarial experience.
- Word processing, Microsoft Excel, and Outlook skills.
- Knowledge of office dynamics and administrative process.
- Ability to complete assigned tasks under stressful situations.
- Effective verbal and listening communications skills.
- Excellent interpersonal skills and the ability to work effectively with others.
- Effective organizational skills and attention to detail with a high level of accuracy.
- Ability to make appropriate decisions and use sound judgment.
- Displays professionalism and team-oriented attitudes.
Physical requirements
- Ability to lift 30-50 pounds.
- Ability to use a computer and keyboard (eye-hand coordination and repetitive movements related to keyboarding) and possibly sit for several hours.
- Ability to lift, carry, push, pull, reach, stoop, kneel, and crouch while filing, storing, and maintaining departmental records.
