Commercial Pool Management is looking for an experienced Assistant Operations Manager, familiar with service-based small businesses, excellent at relationship and task management, and excited to lead a seasonal spring/summer team of 20 members. This is a great opportunity to lead while having significant autonomy and ownership.
Role Overview:
We are seeking a dedicated and experienced Assistant Operations Manager to oversee and optimize our pool management operations. This role is crucial in ensuring that our pool technicians are supported, our clients are satisfied, and our operations run smoothly. The ideal candidate will have a strong background in operations management within a service-based industry, though experience in the pool industry is not required. A willingness to learn and adapt is essential.
This role has the potential to rapidly be promoted to Operations Manager. Initially the Assistant Operations Manager will handle a service region and over time grow to handle all regions. (Fulton, Dekalb, Gwinett, Cobb, Cherokee, and Forsyth Counties)
Key Responsibilities:
Onsite to manage daily team meetings at 6:30 am in the Roswell office, team leadership, customer communications, quality control, customer service, scheduling and continuous improvement.
Team Leadership:
- Lead and manage the morning staff meetings, providing clear directions and updates.
- Share and track specific pool details with technicians, including customer complaints, requests, and repair statuses.
- Offer coaching, reminders, feedback and recognition based on field reports.
- Communicate with employees about attendance and route adjustments to ensure all pools are covered.
- Route technicians during the day to address arising needs.
- Ensure team stays engaged and motivated
- Supporting leadership with processes related to onboarding and offboarding.
- Plan and assist with seasonal hiring, onboarding, and off-boarding.
- Coordinate estimates with back-office and repair techs. Once estimates are approved, coordinate with repair techs to ensure repair happens in a timely fashion.
Customer Communication:
- Own developing and sustaining positive relationships with our customers through managing issues efficiently.
- Receive customer issues, concerns, and requests from back-office and formulate plan of action in an immediate and timely fashion.
- Manage technician assignments, communicate with customers & follow through to resolution for customer issues, concerns, and requests.
- Be present for customer on-site meetings as needed.
- Provide updates to customers via calls, emails, or texts as issues are resolved.
Quality Control:
- Review our app and supervise the performance of technicians through quality control audits.
- Work closely with technicians to support problem resolution.
- Coordinate county health inspections as needed.
- Meet with customers to build rapport and confirm customer satisfaction.
- Assess and report inventory levels to back-office to ensure we stay stocked on supplies and equipment.
Scheduling and Coordination:
- Manage the calendar for technicians’ days off and coordinate coverage.
- Adjust routes and schedules to optimize efficiency and coverage.
Process Improvement:
- Develop and implement strategies to optimize business operations.
- Create and refine processes to enhance efficiency and effectiveness.
Qualifications:
- Proven experience in operations management within a service-based business (e.g. construction, landscaping, pest control, etc).
- Strong leadership and team management skills.
- Highly motivated to provide positive customer service.
- Dependable, punctual and has reliable transportation.
- Excellent communication and interpersonal abilities - text, phone, and in person
- Highly organized with the ability to multitask and prioritize effectively.
- Proficient in using technology and software for scheduling, communication, and quality control.
- Willingness to work long hours during the peak season and adapt to the seasonal nature of the business.
- Ability to work independently and make sound decisions under pressure.
Preferred Qualifications:
- Ability to grasp mechanical and chemical equipment
- Ability to stand for long periods (ex. 7+ hours)
- Ability to push, pull, lift or carry equipment as needed (ex. 50 lbs)
