Job Description
The Assignment Coordinator will report to the Operations Department and will be working on a fast past team where you will execute travel for all providers from conception to completion including travel research, booking of all details, and constant communication and collaboration with your team and providers. The ideal candidate has strong organizational and time management skills, previous travel related experience and can multitask across multiple projects.
The role will be in the office 4 days a week, remote half days on Friday, with potential of becoming more hybrid.
Essential Functions of the Role
- Start Credentialing process and coordinate with team members to ensure paperwork and requested documents are submitted in a timely manner.
- Receive travel requirements and research travel (flights, rental car, hotels) options based on preferences and budget.
- Confirm reservations after verifying travel and accommodation availability and booking reservations accordingly.
- Monitor travel status and address any travel issues (flight delays, cancellations) promptly.
- Stay in touch with healthcare providers during their journey to assist if needed.
- Track travel-related expenses and ensure compliance with budget guidelines.
- Coordinate with Alumni Finance to process travel expense reimbursements accurately and promptly.
- Gather site orientation details and schedule.
- Coordinate with team members on all scheduling issues.
- Check-in with healthcare providers throughout their assignment.
- Coordinate with Alumni Finance on late, missing, or erroneous timesheets and follow-up to remedy the issue.
- Keep track of and work on multiple assignments at once.
- Other duties as assigned.
Preferred Skills & Qualifications
- Has 1-2 years of experience booking travel including flights, rental car and hotels
- Proficient in Microsoft Office and Outlook
- Highly organized
- Strong communication skills – written & verbal
- Ability to determine priorities and meet deadlines
- Strong time management skills
- Thorough and attentive to detail
- Ability to adapt to changing schedules and provider needs
