Job Summary:
The treatment coordinator is an extended representative of the doctor and the practice. The primary responsibility of this team member is taking care of people and arranging and coordinating the events and appointments necessary to convert the new patient into active or pre-treatment growth guidance status.
The Treatment Coordinator allows the doctor to spend the necessary time with patients and handles all other areas and discussions in the New Patient Exam. The Treatment Coordinator promotes the doctor and the practice by building relationships with patients and parents and general dentists and specialists. The goals of the treatment coordinator are to listen to the patient's needs and expectations, to use his/her verbal skills to create and nurture relationships, and to build the patient's trust and confidence in the doctor and staff – all with the end goal of starting them as a New Patient in the practice.
Duties:
- Greet and check-in patients, ensuring a positive and welcoming experience for patients and their families
- Schedule patient appointments and coordinate treatment plans
- Verify insurance coverage and assist patients with insurance claims
- Maintain accurate patient records and update medical history as necessary
- Assist doctor in patient exam and consultation
- Answer phone calls, respond to inquiries, and provide information to patients
- Assist with billing and financial arrangements for treatments
- Collaborate with the dental team to ensure efficient patient flow
- Follow HIPAA guidelines to protect patient confidentiality
- Provide exceptional customer service to patients, addressing their concerns and needs
Requirements:
- High school diploma or equivalent required
-At least two years dental related experience required OR
· Minimum two years of experience in orthodontics
· Experience in sales is desirable
- Proven experience as a dental receptionist or in a similar administrative support role
- Familiarity with dental and orthodontic terminology and procedures
- Proficient in using orthodontic software such as Dolphin
- Strong communication skills, both written and verbal
- Excellent organizational skills with attention to detail
- Ability to multitask and prioritize tasks effectively in a fast-paced environment
