The Operations Coordinator is responsible for providing administrative support to complete a variety of projects, and ongoing daily administrative tasks related to insurance claims, capital projects and supporting the Operations Manager and Regional Maintenance Directors. Adherence to a customer service philosophy by providing excellent customer service to Team Members, residents and external stake holders is paramount.

What You'll D
- Coordinating incident tracking and financials along with working on claims for insurance pertaining to ITRs.

Coordinating with the community teams on ITRs.

Perform a mix of physical plant related administration responsibilities, assisting with capital project budgets, scheduling, planning, and reporting support and management.

Manage files, data collection, report creation, proofreading, research, order processing, scheduling, and team collaboration.
- Provides a high level of customer service to team members, vendors, and stakeholders.

Supports Operations Manager, VP of Plant Operations and Regional Maintenance Directors.

Conducts market and vendor research for various departments, gathers bids, financially reviews contracts prior to submitting for approval, and establishes and maintains vendor relationships.

Arranges logistics, creates, and distributes agendas, schedules and coordinates meetings, prepares and distributing meeting minutes for both external and internal meetings. Logs, tracks, and updates action items generated out of these meetings.

Compiles, analyzes, and updates project schedules and action items through project management applications to provide accurate and current updates to management and community teams on the status of projects.
- Develops, updates, and maintains electronic and hard copy filing system for team.
- Assists with expense reports, processes invoices, and submits credit applications and reimbursement checks. Assists with the creation, maintenance, and reconciliation of annual and capital budgets.
- Low level assistance coordinating building maintenance and projects at multiple operating facilities.

Coordination of care and upkeep of office building. Which could include minor physical labor.
- Creates and revises systems and procedures through various software programs, manual creations, and process adjustments to increase team efficiency and communication.

Works as a liaison between team members, transferring and disseminating project information as needed.
- Prepare and edit materials and reports, analyzing data, identifying solutions.
What You Bring
- High School Diploma or GED required.
- One to two years' experience in administrative support role; experience in projects

One to two years' experience assisting with the development or construction phases of projects.
- Demonstrated competence in using productivity applications, such as Microsoft Office tools (Outlook, Word, Excel, and PowerPoint).
- Prior supervisory experience preferred.

Ability to maintain and update project management software and productivity applications, follow up with responsible parties, and report back to supervisor.

Excellent written and verbal communication skills. Ability to understand and carry out specific written and oral direction in English. Positive, innovative approach to problem solving.
