POSITION SUMMARY
Volunteer New York! is hiring a Senior Accountant. The Senior Accountant will oversee and control Volunteer New York!’s !’s accounting function. They will maintain internal safeguards for receipts of revenue, expenses and grant budgets, and actual expenditures. They will also manage all financial accounting, grants administration, and financial policies, and procedures. They will be responsible for providing excellent customer service. Success requires effective cross functional collaboration with members of other departments. The Senior Accountant is a leader in projects that require solid accounting knowledge. The Senior Accountant will adhere to and seek to improve existing internal controls while complying with and staying abreast of GAAP. The Senior Accountant plays a key role in Volunteer New York’s ability to meet its program goals and, ultimately, achieve its mission. This position reports to the Executive Director with a dotted line to a Fractional CFO and works closely with the Leadership Team.
KEY RESPONSIBILITIES
Finance
- Responsibilities include safeguarding assets and assuring accurate and timely recording of all transactions, closing the books monthly and providing financial reporting, financial system maintenance, internal controls and compliance.
- Ensure financial records are maintained in compliance with company policies and GAAP – external Auditors available as support.
- Prepare monthly/quarterly account reconciliations and other documents to ensure compliance, including a monthly review of the Trial Balance with corresponding analyses for each account.
- Payroll, expenses, and related processes.
- Bank and credit card reconciliation.
- Accuracy of organization’s General Ledger.
- Maintenance and improvement of chart of accounts.
- Maintenance and improvement of organization’s accounting policies and protocols (e.g. credit card use policy, purchase request policy, etc.).
- Assist in the preparation of high-level financials for Board of Directors and program/department Directors.
- Creation, in collaboration with Leadership Team, of annual budget and grant proposal budgets.
- Budget forecasting and related reports.
- Management and coordination of workers’ compensation payments and related audits.
- Filing of quarterly sales taxes.
- Work in the audit preparation workpapers; manage successful passing of annual audit.
- Prepare the workpapers for Form 990.
- Ensure compliance with accounting standards, regulatory requirements, and nonprofit financial best practices.
- Fiscal Sponsorship – support the fiscal operation of our sponsoree, Her Honor Mentoring, working closely with their COO and CFO.
Grants Management
- Monitor revenue and expenses to ensure Grant compliance.
- In collaboration with the Senior Director of Programs, develop proposal budgets ensuring all costs are covered.
- Ensure compliance with all applicable regulations.
- Provide monthly timely grant financial reports to the Program Team to monitor the expenses.
- Track net assets with donor restrictions monthly.
- Prepare financial reports for timely submission to donors.
- Keep an up-to-date analysis of personnel allocations across Grants/funders and agency program areas.
Operations
· Responsible for the review of all contracts, leases and service agreements.
QUALIFICATIONS
Strong candidates for this role will possess a majority of the following professional and personal attributes and competencies:
- Commitment to the mission, values and beliefs of Volunteer New York!.
- 8-10 years of management experience in finance, ideally with 5+ years of increasing responsibility in operational disciplines.
- Demonstrate experience in creating proposal budgets.
- Professional experience in the nonprofit sector with extensive knowledge of nonprofit accounting principles, regulations, and compliance standards (GAAP, FASB, IRS regulations, etc.).
- Excellent knowledge and understanding of internal control requirements.
- Proven ability to develop, analyze, interpret and communicate financial statements, budgets and forecasts to diverse audiences including the Board of Directors. Effectively analyzes data to inform decision-making.
- Uses sound judgment and discretion in addressing confidential matters.
- Excellent project management skills as demonstrated by successful implementation of plans.
- Excellent written and oral communication skills
- Proficiency in Quickbooks; advanced Excel skills preferred.
- Experience in managing projects and processes across departments.
- A collegial, collaborative, and a sense of humor.
Schedule: Full-time; Hybrid - 3 days onsite / 2 days remote; Availability to work occasional weekends and evenings, as needed.
Salary and Benefits: This is an outstanding opportunity for a highly motivated leader to join a highly respected organization.
