Summary:
The Administrative Assistant will provide administrative support to an individual, team, department or group in an organization. Collects, reviews and analyzes data and prepares reports, charts, budgets, and other presentation materials utilizing word processing, spreadsheet, or specialized software. Prepares and distributes reports or other communications on a regular schedule. Maintains files, databases, and archives of relevant records. Screens calls and responds to or routes routine inquiries from external or internal sources with appropriate correspondence or other messaging. May manage expense reporting, invoicing, office supply inventory, or other routine processes.
Essential Job Functions:
- Timecard management
- Completes close-out verification and receipt of work orders into ERP, updates all pertinent records
- Analysis and reporting of metrics
- Analyze and reconcile production reporting discrepancies
- Perform general clerical duties including but not limited to filing, photocopying/scanning, faxing, and mailing; proactively establishes and maintains a highly organized filing system
- Perform data entry to enter and process customer job orders, sales invoices, new customer set-up and other relevant data
- Supports scheduling of employee events, supplier, and customer visits as well as support other office admin needs
- Supports commercial team with product load files and other data requests
Requirements:
- 2 years of admin/data entry work
- High School Diploma/GED
- High Level of Microsoft product experience
- High Level of attention to detail/analysis
Physical Demands: Sedentary Work - Lifting of 10 pounds maximum.
While performing the duties of this job, the employee is frequently required to talk or hear. The employee regularly is required to stand; walk; and use hands to finger, handle or feel objects, tools, or controls. The employee is frequently required to sit and reach with hands and arms. While performing the duties of this job, the employee is regularly exposed to mild odors associated with the production process and will regularly work near moving mechanical parts. The employee is occasionally required to climb or balance.
The employee must occasionally lift and/or move up to 10 pounds, periodically lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds.
This job's specific vision abilities include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
The noise level in the work environment is usually moderate.
