Are you an excellent planner and organizer? We’re hiring an Executive Assistant to provide administrative support to the Owner and team to help us achieve our organizational goals. Your role is key to ensuring plans are made, schedules are set, meetings happen on time, and files are neatly organized and up-to-date. Compensation:
$22 - $27 hourly
Responsibilities:
General Support

Answer phones, schedule appointments, engage with clients, and handle basic bookkeeping tasks.

Prepare financial statements, reports, memos, invoices, and other documents; research and collect data for document preparation.

Complete special projects, including creating presentations, spreadsheets, reports, Scopes of Work, and agendas. Assist in project planning and tracking progress.

Perform office duties, such as ordering supplies, managing filing systems, and managing the CRM system.

Track and obtain documentation from subcontractors and vendors; assist clients with product selections and compile project-related documentation.

Maintain confidential information; prepare for meetings by organizing documents and maintaining office presentations.

Provide general administrative support to all departments and handle other assigned tasks, with occasional travel to clients' homes for administrative tasks.
Support To Owner

Translate ideas from conversations into professional documents; organize daily routines, schedule, and prioritize tasks.

Determine priority of matters for the owner; handle or redirect as appropriate.

Manage the company calendar, including project schedules, client appointments, and deadlines; advise the owner on time-sensitive and priority issues.

Run occasional personal errands for the owner and handle additional duties as assigned.

Other additional and/or alternative duties as assigned from time to time.
Qualifications:-
Associate's degree and 4 years of experience as an executive assistant or similar role.

Excellent written and verbal communication, organizational, and time management skills.

Self-motivated with the ability to work independently and handle sensitive information confidentially.

Proficiency in Microsoft Office Suite; knowledge of office administration, clerical procedures, and recordkeeping systems.

Must pass a background check, have a valid driver's license, and a working vehicle with insurance.
