Duties and Responsibilities:
- Assists Account Manager and Sales Associate with assigned customer accounts.
- Communicates directly with customers and principals via phone, email and TEAMS.
- Enters customer orders in the business system for parts and basic assemblies.
- Enters customer change orders and customer returns in the business system.
- Monitors shipment schedules, provides schedule updates to customers and other Sales Team members, and serves as primary focal point for expediting with the client.
- Ensure all order related documentation is submitted in a timely manner using established procedures.
- Responsible for reviewing and taking corrective action on commission reconciliation, PONCs, and other system related issues.
- Responsible for securing and maintaining Export Compliance documentation within SharePoint following established procedures.
- Maintains customer account information in the business system (e.g. billing/shipping addresses, customer numbers, etc.)
- Responsible for collection of payment from customers for past-due invoices.
- Monitors and updates sales team on customer service items that are in jeopardy of failing to meet or exceed customer expectations.
- Creates and delivers parts quotes directly to customers.
- May assist the customer with selecting basic products.
- Follows up with customers regarding status of open quotes.
- Coordinates or assists in coordination of customer and employee meetings.
- Administers and distributes various sales reports as required.
- Provides suggestions to improve work process, such as reduction in non-conformances, increased efficiency, profitability, hit-rate and customer satisfaction.
- Performs general administration activities for sales team including answering phones, transferring calls, copying, filing, typing, and other.
- Perform related duties as required.
QUALIFICATIONS:
Education/Knowledge:
- High School education required with some college business course work preferred.
- Knowledge of office administrative procedures, use and operation of standard office equipment.
Experience/Skills:
- 3 - 7 years of office administrative experience.
- Strong knowledge of various computer software applications including MS Office, business system and principal provided sizing programs.
- Strong written and verbal communication skills.
- Strong customer service skills including the ability to develop rapport and trust with customers and other employees.
- Competent in the use of various communication methods including customer data tools, email, internet and FTP sites.
